Workplace Experience (Wx) Coordinator - JLL
Position Overview: The Workplace Experience (Wx) Coordinator is responsible for delivering an exceptional onsite workplace experience for all Amgen personnel guests and partners. This role supports daytoday customer service operations event coordination space readiness communications hospitality activities and alignment with JLL service standards. The Wx Coordinator partners closely with Facilities Operations Vendor Services EHSS Quality Security Engineering and other stakeholders to ensure the site environment is welcoming safe compliant and highly functional. This role requires strong communication skills high attention to detail and a customercentric mindset while supporting a fastpaced regulated environment.
What your day to day will look like:
Workplace Experience & Customer Engagement
Serve as a primary point of contact for daily occupant questions requests service needs and general Wx support.
Support a welcoming professional and customerfocused environment in lobbies office areas collaboration spaces and general common areas.
Assist with daily site experience walk-throughs ensuring cleanliness safety wayfinding supplies and overall readiness.
Maintain communication boards visitor information and messaging updates across key areas.
Assist with employee onboarding support workspace orientation and facility familiarization.
Event & Space Coordination
Coordinate small- to midsize onsite events including room setup logistics meeting support and vendor coordination.
Assist with seating plans space readiness signage conference room functionality and occupancy-related tasks.
Partner with Facilities IT Security and departmental representatives for event and meeting requirements.
Support workplace programs (awareness days engagement activities wellness touchpoints etc.).
Vendor & Service Partner Support
Collaborate with the Vendor Service Manager to ensure vendor teams (cleaning landscaping pest control hospitality etc.) deliver consistent service standards.
Confirm execution of daily service routes spot checks and readiness activities.
Communicate service gaps or issues escalating when necessary.
Coordinate and help verify completion of workplace experience tasks executed by vendors.
Communication & Stakeholder Support
Assist with internal communications announcements updates and digital postings related to workplace experience.
Capture and relay feedback from occupants to support continuous improvement efforts.
Maintain updated workplace guides SOPs playbooks and Wx service documentation.
Operations Support
Submit track and update work orders in Maximo or other systems as needed (training available).
Support facility readiness for internal audits inspections and walk-throughs.
Assist in emergency response messaging coordination and safety protocol adherence during events.
Help maintain documentation related to space use events visitor activities and Wx operations.
Required Qualifications
Strong customer service experience in hospitality workplace experience facilities coordination or administrative support roles.
Excellent verbal and written communication skills.
Proficiency with MS Outlook Excel and basic office applications.
Strong interpersonal skills with the ability to work across multiple teams.
Ability to manage multiple tasks in a high-paced environment.
Ability to safely move throughout labs offices and manufacturing areas; occasionally lift up to 50 lbs.
High attention to detail and reliability in daily execution.
Preferred Qualifications
Experience in a GMP biotech or highly regulated facility preferred.
Experience working with CMMS systems such as Maximo.
Exposure to event planning hospitality services or customer-facing service roles.
Experience working with vendor teams or service providers.
