Reporting to the Director of the Wellness Center the Administrative Coordinator provides high-level administrative and operational support across all departments within the Wellness Center. This role requires a seasoned administrative professional who can manage complex workflows coordinate across multiple functional areas and exercise sound judgment in a fast-paced confidential healthcare and student services environment.
The Administrative Coordinator plays a key role in supporting the efficient day-to-day operations of the Wellness Center providing administrative support across medical counseling wellness programming and accessibility services.
This is a 10-month full-time in-person non-exempt position (40 hours per week during the academic year plus 130 hours over the 13-week summer period). Standard office hours are 7:30 a.m. to 4:00 p.m. Monday through Friday; however the schedule may vary to include occasional evenings and weekends based on campus activities and special events.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Provide comprehensive administrative support across Wellness Center departments ensuring efficient coordination of operations and workflows
Manage complex scheduling for medical and counseling providers including appointment coordination and calendar oversight
Oversee health records processing and data entry ensuring accuracy and compliance with applicable regulations
Administer aspects of the departmental budget including invoice processing payment tracking and financial recordkeeping
Coordinate and prioritize high-volume communications (phone email in-person) directing inquiries appropriately
Maintain confidential records and sensitive information in compliance with HIPAA and FERPA regulations
Serve as a primary point of contact for office operations including equipment supplies and facility-related needs
Liaise with internal and external systems including electronic medical records (Medicat)
Support data management and reporting needs for departmental assessment and operations
Provide direct administrative support to the Director of the Wellness Center including special projects and operational initiatives
REQUIRED QUALIFICATIONS
5 years of progressive administrative Coordinator or office management experience required
Demonstrated experience supporting multi-functional teams or complex office environments
Strong proficiency with office systems scheduling platforms and data management tools
Excellent written and verbal communication skills with the ability to interact professionally with a wide range of stakeholders
High level of discretion and experience handling confidential and sensitive information
Exceptional organizational and problem-solving skills
Proven ability to manage multiple priorities work independently and exercise sound judgment
PREFERRED QUALIFICATIONS
Associates or Bachelors degree
Experience in a healthcare higher education or clinical setting
Familiarity with HIPAA regulations and handling of protected health information
