Personal Assistant to Distinguished Professor (at the rank of Administrative Assistant II) in the Department of Physics (Ref.: 534776)
The Role
The Department of Physics is seeking a highly skilled and proactive Personal Assistant to support a distinguished Professor and his research group in all aspects of academic research and public engagements. The appointee will be responsible for a wide spectrum of administrative work including but not limited to providing comprehensive administrative support such as managing complex calendars travel arrangements and correspondence; organizing events meetings conferences lectures and special events; arranging schedules for visitors and coordinating logistics for academic and public engagements; liaising with university departments and external collaborators on behalf of the Professor; purchasing consumables handling reimbursements and managing procurement processes as required; and assisting with grant applications research proposals and progress reporting. The appointee will also perform any other duties as assigned.
Qualifications and Qualities
- A Bachelors degree or above with at least 10 years relevant work experience in administration
- Excellent command of both spoken and written English and Chinese (including Cantonese and Putonghua)
- Strong interpersonal organizational problem-solving and communication skills
- Ability to prioritize multiple tasks in an efficient manner
- Mature meticulous and self-motivated with the ability to work independently and attentive to details even under pressure
- A high level of computer literacy/IT skills
- Experience in a University setting is a plus but not mandatory
- Experience in supporting senior academic or scientific leaders
- Familiarity with research administration and grant processes
- Knowledge of university operations and international collaborations
What We Offer
The appointment will be made on fixed-term full-time contract for 2 years to commence as soon as possible with the possibility of renewal subject to satisfactory performance. A highly competitive salary commensurate with qualifications and experience will be offered together with contract-end gratuity and University contribution to a retirement benefits scheme at 10% of basic salary.
