Job Summary



Qualifications/Experience:
High School Diploma/GED. Successful background check required. Previous work experience as an Administrative Assistant in a school setting is preferred. Experience with the following: Skyward Timeclock Plus Frontline PowerSchool Microsoft Office programs Google Drive Eleyo etc.


Knowledge/Skills/Abilities Needed:
The Principals Administrative Assistant is responsible for supporting the smooth and efficient operation of the school front office. They should be welcoming personable and helpful as they represent the school in a professional and friendly manner. The ideal candidate should have a comprehensive knowledge of office management techniques and equipment general knowledge of departmental organization and functions and general administrative policies and practices comprehensive skill in organizing work flow and coordinating activities and general skill in operating personal computer equipment and related office software. They would also have the ability to create and maintain files and reports from file sources analyze and interpret policies and procedural guidelines type at a reasonable rate of speed multitask on a regular basis resolve problems answer inquiries; and establish and maintain effective working relationships with associates and the general public.

Specific Tasks:

Under the direction of the building principal the Principals Administrative Assistant is responsible for providing support in coordinating the daily operations of the school while exhibiting compassion patience and problem-solving skills to navigate situations that arise. Provide responsive welcoming and respectful answers and support to all staff students and parents. Main office coordination ensuring workflow and performance meeting assignment requests and deadlines. Ensures payroll is submitted in an accurate and timely manner. Draft reports and materials requiring extensive research. Ensure data privacy and confidentiality at all times. Ensure all first aid reporting of injuries for supervised staff are completed accurately and within 24 hours of any accident or injury. Ensure main office reception areas and phone lines are staffed during business hours by Administrative Assistant staff. Generate class lists assist with scheduling and updates as needed. Generate staff lists with current information such as title room number phone number etc. Oversee and assist with group and mass communications. Ensure communications are organized complete and timely. Draft edit and submit requisitions according to District policy and District requests. Ensure staff have access to District forms. Ensure data is entered and written in designated databases. Ensure report drafts are submitted to Administrator or designee for editing and approval by timelines established. Create and distribute reports as needed. Provide communications to building staff as needed and as requested by Administration. Other duties as assigned by principal.
