Job Summary

Overview

The External Partnerships Coordinator is responsible for planning coordinating and executing events and outreach initiatives that strengthen the organizations visibility stakeholder relationships and mission impact. Operating with moderate autonomy this role independently manages multiple initiatives concurrently and exercises sound judgment in planning prioritization and problemsolving to deliver highquality engagements.

Working across organizational functions and with a broad range of external partnersincluding academic industry community and funding stakeholdersthe External Partnerships Coordinator serves as a primary point of contact for events and outreach activities. The role manages logistics communications and execution for inperson virtual and hybrid events and supports promotion documentation and reporting to meet organizational funder and compliance expectations. While the position has no direct supervisory responsibility it will manage vendors contractors or temporary staff to ensure successful outcomes. Through effective management and continuous improvement of processes and practices the External Partnerships Coordinator plays a key role in advancing organizational awareness engagement and strategic partnerships.

Responsibilities

  • Oversee plan and execute in-person virtual and hybrid events aligned with organizational goals
  • Manage event planning and logistics including timelines budgets venues vendors travel and technology platforms
  • Coordinate outreach and engagement activities with academic industry community and funding partners
  • Serve as a primary point of contact for event participants and external stakeholders
  • Consult with internal teams to develop event agendas materials and promotional content
  • Support promotion of events through digital channels and stakeholder communications
  • Track participation outcomes and feedback for events and outreach initiatives
  • Prepare reports and documentation to support leadership funder and compliance requirements
  • Ensure events and outreach activities meet branding accessibility and quality standards
  • Contribute to process improvements and best practices for events and outreach operations

Qualifications

Minimum Qualifications:

  • 24 years of relevant experience in:
    • Event coordination or management
    • Outreach engagement or communications
    • Program or project coordination

Preferred Qualifications:

  • Bachelors degree preferred
  • Relevant professional experience in external partnerships outreach events stakeholder engagement communications or a closely related field.
  • Demonstrated experience coordinating and cultivating external relationships with partners such as academic institutions industry organizations community groups or funders.
  • Proven ability to manage multiple events or outreach initiatives concurrently exercising judgment in planning prioritization and execution.
  • Strong experience serving as a primary point of contact for external stakeholders with an emphasis on responsiveness professionalism and relationship continuity.
  • Experience working crossfunctionally with internal teams to align partnership and outreach activities with organizational goals.
  • Demonstrated ability to track engagement activities outcomes and followup actions and prepare summaries or reports for leadership or funders.
  • Ability to recognize partner needs and opportunities and connect them to appropriate internal teams or initiatives.
  • Familiarity with event management tools CRM systems scheduling platforms or tracking databases is preferred.
  • Demonstrated ability to manage details deadlines and competing priorities in a dynamic environment.
  • Experience working in a nonprofit research academic government or missiondriven organization.
  • Familiarity with branding accessibility and quality standards for publicfacing events and materials.
