Job Summary

We are looking for an Administrative Assistant to support the Sales Director in our offices in Porto Alegre RS and Ponta Grossa PR. This role goes beyond traditional executive assistant responsibilities: you will play a key role in connecting and supporting the regional team ensuring smooth efficient communication and collaboration. You will manage daily office routines coordinate a complex agenda including domestic and international travel arrangements for clients and the local team and act as a regional communications and environmental ambassador.


This position requires a proactive highly organized professional who thrives in a dynamic environment and is comfortable working with both traditional office tools and modern digital solutions.

This position is based in Porto Alegre RS or Ponta Grossa PR Brazil.

Tetra Pak does not offer work visa sponsorship or relocation support for this role.

What you will do

As a Sales Administrative Assistant you will:

  • Provide comprehensive administrative support to the Sales Director;
  • Act as a liaison between the Sales Director and internal/external stakeholders;
  • Manage office administrative routines and documents;
  • Organize and facilitate Sales team meetings and events with customers including managing complex calendars;
  • Coordinate and organize domestic and international travel arrangements for clients and the local team;
  • Handle purchase orders and other administrative processes for the Region;
  • Support the commercial area in contract management (purchase sale and rental of machines) including notary-related activities;
  • Act as a Regional communication and environmental agent supporting internal initiatives announcements and email distribution;
  • Prepare presentations reports and documentation as needed;
  • Participate in corporate events and local initiatives;
  • Maintain confidentiality and professionalism at all times;

We believe you have

  • Bachelors degree (administration/accounting);
  • Previous experience in an executive assistant or administrative role preferably supporting senior management;
  • Intermediate level of English (written reading and spoken);
  • Advanced knowledge of Microsoft Office and ERP systems (Excel Word PowerPoint SAP);
  • Proactive mindset;
  • Excellent organizational prioritization and planning abilities;
  • Strong communication and interpersonal skills;
  • High service orientation and a hands-on proactive work style;
  • Ability to work independently and manage multiple priorities;
  • Availability for short trips between the sales offices at least 4 (four) days per quarter;
