Position Title: School Administrative Associate I - Elementary
Pay Grade: 10 Period of Employment: 12 months
Description Approved/ Revised: 06/2024 FLSA Status: Non-Exempt
Supervised by and/or Reports to: Building Administrator
General Responsibilities: Ensure the smooth operation of the front office by assisting staff students and parents as needed.
Essential Duties:

- Maintains the general function of the administrative office; answers phones and takes messages provides information.
- Compiles types maintains and distributes correspondence and notifications.
- Researches and types monthly newsletter.
- Provides administrative support to the principal and assistant principal.
- Processes payroll for staff; enters leave into the system; maintains records of staff payroll and leave.
- Serves as the substitute coordinator.
- Assists in school drills.
- Compiles and maintains various school city and state reports on a weekly monthly and yearly basis.
- Serves as a liaison between community and school.
- Serves as a resource for administration and faculty regarding student and parent information.
- Maintains up-to-date emergency card files on students and staff.
- Assists with planning school events.
- Makes announcements over the P.A. system.
- Handles the enrollment withdrawal and maintenance of student records including but not limited to: inputting and removal from PowerSchool scanned forms monthly reports student data and class listings and numbers.
- Manages field trip dates times and transportation; processes paperwork and logs field trips.
- Assists parents with registration.
- Operates the Blackboard Connect system which makes all of the automated calls/emails for the school.
- Places work orders into the maintenance system.
- Acts as a member of the school safety team.
- Performs other duties as assigned.
Requisite Knowledge Skills and Abilities:
- Ability to work well with students staff and the community.
- Ability to work well in a school environment and have knowledge of school procedures and policies.
- Must possess strong computer skills and be willing to learn new technologies.
- Ability to initiate tasks and work independently.
- Ability to multitask.
- Must be accurate and detail oriented.
- Must possess strong organizational skills.
- Ability to work well under pressure and exercise appropriate judgment in a variety of situations including crises.
- Serves as role model.
Requisite Education and Experience:
- Must possess at least a high school diploma or equivalent (GED).
- Prior clerical or administrative experience preferred.
Physical Requirements:
Must have the use of sensory skills in order to effectively communicate and interact with other employees and the public through the use of the telephone and personal contact as normally defined by the ability to see read talk hear handle or feel objects and controls. Physical capability to effectively use and operate various items of office related equipment such as but not limited to: a personal computer calculator copier and fax machine. Some climbing stooping kneeling crouching reaching standing walking pushing pulling lifting grasping or repetitive motions required.
