Job Summary


A Brief Overview

Reporting to the Associate Director Gift Governance & Compliance this role is responsible for developing managing and monitoring Terms of Reference documents which establish a wide range of fund types across the university. The position ensures all donated fundsfrom major or principal level donors estates trusts and other planned or non monetary contributionsare administered in compliance with regulatory requirements university policies and donor intent. Contributing to the gift acceptance process the role facilitates accurate fund setup assists with revising existing fund terms and supports robust fund tracking and reporting mechanisms.

This position supports the development of terms of reference and gift agreements for donated gifts including major and principal giving. This position monitors donated funds ensuring compliance regulatory guidelines and donor spending intentions are achieved. This position implements and communicates procedural or policy changes to ensure an efficient Gift/Fund acceptance process. This position also supports the delivery of fund tracking mechanisms tailored reports and projections of fund earnings and/or fund modeling.

Job Description

What you will do

  • Supports the development of terms of reference and gift agreements for diverse funds that have been donated including major and principal giving.
  • Monitors donated funds which could include estates and trusts and other planned or non-monetary gifts to ensure funds are spent in accordance with donor intentions and university policy.
  • Ensures compliance and regulatory guidelines are achieved.
  • Implements and communicates procedural or policy changes to improve the Gift/Fund acceptance process.
  • Facilitates and tracks gifts and ensures they are deposited into the appropriate fund as outlined in gift acceptance documentation.
  • Provides guidance on language for fund terms and supports fund term revisions.
  • Supports the fund tracking mechanisms and communicates with relevant constituents to ensure payments are made and spending is achieved.
  • Supports the delivery of tailored stewardship fund variance and custom reports.
  • Develops projections of fund earnings and/or fund modeling.
  • Other duties as required in support of the department and/or unit.
Required Education
  • Four-Year Bachelor Degree or addition requires trade certification qualification or on-going learning to remain ahead of changes in technology or emerging fields.
    Required Experience
    • More than 3 years and up to and including 5 years of experience.
      • Knowledge of relationship building fundraising and stewardship considered an asset.
      • Knowledge of relevant laws regulations policies standards and/or guidelines considered an asset.
      • Experience monitoring evaluating and testing records processes and/or systems to assess compliance with applicable laws agreements contracts and/or policies considered an asset (e.g. IT systems audits financial audits operational audits etc.).
      • Experience in a financial environment preferably with exposure to federal and provincial tax regulations considered an asset.
      • Experience working in a non-profit office considered an asset.
    Consideration may be given to an equivalent combination of education and experience.
