Job Summary

The Executive Secretary provides high-level administrative support to senior executives within the insurance company. This role manages schedules communications and documentation ensuring smooth day-to-day operations and supporting strategic initiatives. The Executive Secretary serves as a liaison between executives staff clients and stakeholders maintaining professionalism and confidentiality at all times.

Key Responsibilities:

  • Manage and maintain executives calendars appointments and meetings.
  • Coordinate internal and external communications including emails phone calls and correspondence.
  • Prepare review and edit documents reports presentations and insurance-related materials.
  • Organize travel arrangements itineraries and expense reports for executives.
  • Act as a liaison between executives and employees clients and partners ensuring timely communication.
  • Assist in organizing corporate events board meetings and company functions.
  • Maintain confidential files and records ensuring compliance with company policies and insurance regulations.
  • Conduct research compile data and prepare reports as requested by executives.
  • Support ad-hoc projects including coordination with insurance operations compliance and client relations teams.

Qualifications:

  • Proven experience as an executive secretary executive assistant or professional preferably in insurance or finance.
  • Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook) and office management software.
  • Excellent organizational time-management and multitasking skills.
  • Strong written and verbal communication skills.
  • High level of discretion and confidentiality.
  • Professional demeanor and strong interpersonal skills.
