The Executive Secretary provides high-level administrative support to senior executives within the insurance company. This role manages schedules communications and documentation ensuring smooth day-to-day operations and supporting strategic initiatives. The Executive Secretary serves as a liaison between executives staff clients and stakeholders maintaining professionalism and confidentiality at all times.
Key Responsibilities:
- Manage and maintain executives calendars appointments and meetings.
- Coordinate internal and external communications including emails phone calls and correspondence.
- Prepare review and edit documents reports presentations and insurance-related materials.
- Organize travel arrangements itineraries and expense reports for executives.
- Act as a liaison between executives and employees clients and partners ensuring timely communication.
- Assist in organizing corporate events board meetings and company functions.
- Maintain confidential files and records ensuring compliance with company policies and insurance regulations.
- Conduct research compile data and prepare reports as requested by executives.
- Support ad-hoc projects including coordination with insurance operations compliance and client relations teams.
Qualifications:
- Proven experience as an executive secretary executive assistant or professional preferably in insurance or finance.
- Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook) and office management software.
- Excellent organizational time-management and multitasking skills.
- Strong written and verbal communication skills.
- High level of discretion and confidentiality.
