Position Summary:
The Secretary Therapy Services provides administrative and clerical support to outpatient therapy programs including physical occupational and specialty rehabilitation services. This role assists with patient scheduling registration documentation and charge entry to support efficient clinic operations and accurate patient flow. Serving as a primary point of contact for patients and visitors the secretary delivers courteous professional communication while helping staff coordinate daily activities. As part of a supportive team-oriented therapy environment this position contributes to a smooth patient-centered experience by maintaining organized administrative processes and supporting therapists and departmental leadership.
Key Responsibilities:
- Schedule patient appointments complete registration processes and manage check-in and discharge activities in accordance with departmental procedures.
- Perform administrative tasks such as word processing filing copying preparing documents and coordinating payroll or statistical reports as assigned.
- Assist with charge entry coding support and accurate documentation to ensure proper billing and record integrity.
- Greet patients and respond to phone inquiries providing professional timely communication and directing questions to the appropriate therapy staff.
- Handle basic financial transactions including receiving payments and maintaining accurate records of related activities.
- Collaborate with therapists therapy assistants athletic trainers and departmental leadership to support daily workflow and special projects.
Licenses and Certifications Required:
Educational Requirements:
- High school graduate preferred
Experience Requirements:
- 1 year of secretarial experience preferred
Special Skills or Training Requirements:
- Typing Knowledge of computer program using word processing and spreadsheets
Physical Requirements:
The Secretary Therapy Services primarily works in an office or outpatient therapy setting requiring prolonged periods of sitting keyboard use and telephone communication. The role may involve occasional walking bending or light lifting of files supplies or office materials. Adequate vision hearing and manual dexterity are necessary for accurate data entry document preparation and effective interaction with patients and staff.
Environmental Requirements:
This position operates in a busy outpatient therapy environment with frequent patient interaction workflow interruptions and time-sensitive tasks. The role works in office and reception areas adjacent to therapy treatment spaces requiring professionalism and adherence to confidentiality and information-security standards.
