Job Summary

Support the operation of a multimillion-dollar company by effectively operating a multiline phone system greeting guests and providing daily assistance through effective execution of the following duties

Essential Duties & Responsibilities

  1. In addition to detailed responsibilities listed below role would serve as an assistant to office staff needs.
  2. Answer incoming telephone calls and route to appropriate personnel.
  3. Welcome on-site visitors and direct to appropriate personnel.
  4. Assist accounts receivable department with credit card receipts retail store reconciliation as needed.
  5. Open mail and route to appropriate personnel.
  6. Maintain office and breakroom supplied
  7. Perform other clerical duties as needed such as scanning filing copying etc.
  8. Assist employment candidates with online applications process as needed.
  9. Send correspondence to customers as necessary to update accounts
  10. Assist office staff with employee appreciation meetings weekly team meetings and customer/vendor special events.
  11. Assist management team with duties as requested.

Supervisory Responsibilities:

This job has no supervisory responsibilities.

Qualifications

To perform this job successfully an individual must be able to perform each essential duty satisfactorily. Education and/or Experience:

High school diploma or general education degree (GED); and one year related experience and/or training; or equivalent combination of education and experience.

Reasoning Ability:

Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.

Computer Skills:

To perform this job successfully an individual should have knowledge of Outlook Excel and Word. ProCore and/or Sage300(aka Timberline) experience would be a plus.
