About the Role
As the Immigration & Settlement Coordinator you will provide operational and compliance support within Medavie Inc.s international recruitment framework ensuring the accurate and timely coordination of licensure immigration and settlement processes for international trained recruits.


You will support employer-driven immigration programs including LMIAs work permits Permanent Residence applications and regulatory licensure requirements. You will be responsible for structured document management application preparation workflow tracking and proactive deadline monitoring across multiple active files.


The position plays an integral role in delivering a high-quality concierge experience while maintaining strict accuracy timeliness and compliance with immigration and regulatory standards. Working in a high-volume compliance-driven environment the Immigration & Settlement Coordinator applies administrative precision and process discipline that directly influence regulatory outcomes processing timelines and overall candidate experience.


What Youll Do

  • Coordinate and track licensure immigration and settlement requirements for internationally trained healthcare recruits.
  • Collect documents prepare files complete data entry and maintain structured naming conventions.
  • Prepare and quality-check government applications (e.g. LMIAs work permits PR packages) under the guidance of specialists or legal representatives.
  • Act as a primary contact for international recruits providing instructions collecting documents and offering timely follow-up.
  • Schedule meetings information sessions and webinars to support onboarding and pre arrival preparation.
  • Maintain databases trackers templates and audit trails to ensure accuracy and regulatory compliance.
  • Monitor deadlines proactively flag risks and ensure workflows remain up to date.
  • Support settlement and onboarding logistics including pre-arrival documentation and post-arrival administrative tasks.
  • Coordinate administrative documentation required for immigration and licensure.

What You Bring

  • Post secondary education in administration HR business or a related field.
  • 13 years of experience supporting immigration compliance regulatory or legal processes.
  • Experience with high-volume documentation tracking or client communication.

What You Need To Succeed

  • Exceptional attention to detail accuracy and organizational skills.
  • Ability to manage multiple priorities and deadlines in a fast paced high volume environment.
  • Strong written and verbal communication skills.
  • Comfortable working with confidential information and structured compliance processes.
  • Proficiency in Microsoft Office (Excel Word PowerPoint).
  • Comfortable supporting virtual sessions via Webex MS Teams or Zoom.


Nice to have

  • RCIC designation (or in progress).
  • Experience with IRCC portals (GCKey Employer Portal PR Portal).
  • Exposure to LMIAs work permits PR applications or regulated professions.
  • Proficiency in French.

Pay Range:

2374 - 2671 CAD

The Base Pay range may vary depending on the successful candidate or other relevant job-related factors such as knowledge skills qualifications experience and education/ addition to Base Pay eligible Medavie employees may participate in various performance-based incentive programs. Payments under these programs are discretionary and subject to both individual and organizational results.
