Job Summary

This is a dualpathway role designed for someone who will join our team as a Client Support Specialist (CSS) for the first six months supporting Aussie Conveyancing leads clients and brokers. After successfully completing the onboarding and development period the role transitions into a Conveyancing Administrator supporting the delivery of conveyancing services through accurate file setup documentation management and client coordination.

 

This position is ideal for someone who enjoys client contact is highly organised and is keen to build a career in the conveyancing industry.

Phase 1 (First 6 Months): Client Support Specialist

Purpose of the Role

To manage inbound and outbound communication for Aussie Conveyancing referrals guide clients through the upgrade process and ensure smooth handovers into the conveyancing workflow.

Key Responsibilities

1. Lead Management & Initial Client Contact

  • Monitor Nurture Easy for new Aussie Conveyancing referrals.
  • Confirm eligibility and take ownership of assigned leads.
  • Prioritise urgent or overdue referrals.
  • Send precall SMS and complete timely outbound calls.

2. Data Review & File Preparation

  • Review client details referral notes property address and transaction type.
  • Confirm urgency indicators and time-sensitive requirements.
  • Record system notes summarising key details before client contact.

3. Outbound Calls & Client Engagement

  • Contact clients promptly using approved scripts.
  • Provide identity verification steps.
  • Explain the purpose of the call service offering and benefits of upgrading.
  • Avoid providing legal advice or discussing pricing variations.
  • Follow process for noanswer calls including voicemail email and task scheduling.

4. Nurture Issuance

  • Generate accurate conveyancing proposals through Nurture Easy.
  • Ensure all data is correctly entered before sending.

5. FollowUp Management

  • Monitor proposal acceptance daily.
  • Follow structured contact attempt workflow.
  • Document every attempt and schedule follow-up tasks.

6. Inbound Call Handling

  • Answer inbound calls.
  • Support callers regarding active referrals.
  • Direct existing matter enquiries to the correct Practice Team pathways.

7. Handover to Conveyancing

  • Confirm proposal acceptance and upgrade the matter in Nurture Easy.
  • Validate client and property details against the contract of sale.
  • Send engagement confirmation email.
  • Ensure all information is complete for a clean handover to the legal team.

 

Phase 2: Conveyancing Administrator (after six months)

After completing the first six months as a Client Support Specialist and building strong knowledge of our clients systems and processes the role transitions into the Conveyancing Administrator position. This next phase focuses on supporting the conveyancing process through structured taskbased administrative work.

 

Brief Description of the Next Role

As a Conveyancing Administrator the team member will support the early stages of a property transaction. This includes setting up new matters preparing and organising documents running property searches and ensuring files are complete and ready for review by the Conveyancer. The work is administrative and processdriven with no legal advice required. The goal of this role is to ensure all documentation is accurate properly filed and available so the Conveyancer can progress the matter efficiently.


Qualifications :

  • Willing to do complete onsite training for around 2-3 weeks then at least 1x a month after.
  • At least 12 years of Australian or US administrative or back-office experience in Conveyancing or real estate legal services.
  • Experience using document management systems or legal practice tools (LEAP Smokeball Actionstep InfoTrack or similar) is advantageous.
  • Strong organisational and data management skills with a high level of accuracy.
  • Excellent written English communication for internal coordination (some client-facing communication may be required).
  • Ability to meet deadlines and manage multiple tasks simultaneously.
  • Knowledge in conveyancing process and property settlement workflow.
  • Proficiency in Microsoft Office and/or Google Workspace.
