Steiner Associates is seeking a highly organized and professional Administrative Assistant Accounting & Lease Administration to support our Finance and Accounting leadership team. This role is ideal for someone who thrives in a fast-paced professional environment and enjoys supporting complex business operations behind the scenes.
You will work closely with senior leaders across finance accounting and lease administration while helping ensure the smooth day-to-day functioning of our corporate office. This position requires discretion strong judgment and exceptional organizational skills.

In this role you will provide administrative support to the VP of Finance and Operations Director of Lease Administration and Director of Property Accounting while also collaborating with the broader administrative team to support office operations.
Key responsibilities include:
Executive & Administrative Support
Coordinate internal and external meetings through Outlook
Schedule travel arrangements and prepare expense reports
Manage professional correspondence and executive calendars
Track and reconcile American Express expenses
Answer phones and screen calls as needed
Document & Data Management
Create and maintain electronic and physical filing systems
Prepare formal document packages and presentation books
Perform complex mail merges and advanced document formatting
Maintain confidential lease and financial documentation
Create PowerPoint presentations and professional reports
Financial & Lease Administration Support
Assist with basic reporting in MRI as requested
Prepare Excel spreadsheets reports and graphs
Support lease administration and documentation processes
Office Coordination
Partner with administrative staff to help manage day-to-day office operations
Coordinate meeting logistics hospitality and meeting space preparation
Manage incoming mail and distribution
Support shared office resources and general office organization
The ideal candidate is highly professional detail-oriented and comfortable supporting senior leadership in a dynamic environment.
Qualifications
Minimum 5 years of executive-level administrative experience
Experience supporting leaders in finance accounting legal or real estate environments preferred
Advanced Microsoft Word and Excel skills (mail merge document formatting reporting)
Exceptional organizational and time management skills
Strong written and verbal communication abilities
Ability to handle confidential information with discretion
Professional presence and collaborative mindset
Preferred
Paralegal degree or experience working with legal or lease documentation
This role operates in a professional office environment and requires regular computer use document preparation and coordination across departments.
Primarily sedentary work
Ability to occasionally lift up to 20 pounds
Minimal travel required (occasional local meetings or company events)
