The Opportunity
We are looking for a proactive detail oriented Office Coordinator who takes pride in keeping things running seamlessly. This is more than a front desk role. You will be at the center of our operations supporting both the broader organization and the Finance team. As the face of our office you will create a polished and welcoming first impression for clients visitors and partners while driving efficient administrative systems and accounts payable processes behind the scenes. If you enjoy balancing people process and precision this role will put you right where you make the biggest impact.
What youll do
Responsibilities
Front Desk and Customer Service
- Serve as the first point of contact for visitors and callers providing a professional and welcoming experience.
- Answer and direct all incoming mainline calls promptly and accurately.
- Manage front desk inquiries and ensure messages are routed to the appropriate team members.
- Coordinate incoming and outgoing courier services.
Office Administration
- Sort and distribute incoming mail and email inquiries to appropriate recipients in a timely manner.
- Manage office and kitchen supply inventory including ordering and vendor coordination.
- Act as liaison between Acadian Construction and external service providers.
- Book and manage travel arrangements.
Finance and Accounting Support
- Support AP approval workflow including printing vendor invoices and distribution for processing internally.
- Perform vendor payment matching and maintain invoice filing and records.
- Prepare and process cheque deposits using the banks automated deposit machine.
What youll need
Qualifications
Education and Experience
- College diploma in office administration or related field or equivalent experience.
- Minimum two years of experience in a similar administrative role.
- Bilingualism in English and French is required.
- Intermediate proficiency in Microsoft Office Suite (Word Excel Outlook PowerPoint).
- Construction industry experience is considered an asset.
- Experience with Accounts Payable and basic accounting principles is considered an asset.
