Job Purpose (on Third Party Payroll):

The Travel Desk Coordinator is responsible for completing all the tasks as set by the Logistics Manager as per the company travel requirement.

Key Responsibilities:

1) Preparing travel arrangements for project or corporate colleagues

2) Providing advice about airline or country requirements and assisting travelers on the use of booking tools ensuring they are well prepared and informed for every trip.

3) Provide advice for insurance claims flight delays lost luggage etc.

4) Adhere to company QHSSE standards at all times and demonstrate thorough awareness and compliance

5) To undertake any other duties within the department as appropriate within their competence

6) Assists with visa processing and other travel related documentation

7) Purchase Requisition

8) Bill Passing on IFS

9) Maintain Database for Travel

10) Arrange of Car for Project Personnels Movement and as requested by Projects

11) Co-ordination with service provider and accounts for account reconciliation.

12) Assist Logistics Manager for Monthly reporting

13) Any other work as assigned by the Company

Required Experience & Skills:

1) Education: Bachelors degree
2) Work Experience: 38 years of experience in a travel agency
3) Proficient in computer operations; knowledge of MS Office is an added advantage
4) Strong knowledge of flight regulations and travel documentation is mandatory
5) Ability to operate effectively in the unpredictable transportation industry
6) Capable of coordinating traveler schedules with business deadlines
7) Strong skills in: Organization Communication Multitasking Problemsolving

HSE Responsibilities:

Responsible for ensuring the safety of self and others at the site. Prevent damage to equipment and assets. Responsible for following all safety signs/procedures/ safe working practices. Responsible for using appropriate PPEs Responsible for participating in mock drills. Entitled to refuse to undertake any activity considered unsafe. Responsible for filling up of hazard observation card wherever a hazard has been noticed at the site. Responsible for safe housekeeping of his workplace. To stop any operation that is deemed unsafe. To be able to operate a fire extinguisher in case of fire. To report an incident as soon as possible to the immediate supervisor and HSE manager. To complete HSE training as instructed to do so.
