JOB SUMMARY: The Administrative Assistant to Human Resources provides comprehensive administrative and operational support to the HR department ensuring efficient delivery of human resources services across the district. This position plays a key role in supporting hiring and onboarding processes maintaining accurate employee records coordinating compliance requirements and serving as a professional point of contact for staff applicants and visitors.
QUALIFICATIONS
- High school diploma or equivalent
- Associates degree in Business Administration Human Resources or related field preferred
- Minimum of two years of administrative experience
- Experience in human resources operations or personnel support preferred
- Proficiency in Google Workspace and Microsoft Office
ESSENTIAL FUNCTIONS & RESPONSIBILITIES
- Process hiring and onboarding for assigned employee groups ensuring timely and accurate completion of required documentation.
- Assist with scheduling and coordinating interviews and preparing interview materials.
- Review and process employee and volunteer background checks.
- Support the coordination and facilitation of new employee orientation sessions.
- Maintain accurate employment records and employee personnel files in compliance with district policies and regulations.
- Track and monitor required training licensure and certifications to ensure ongoing compliance.
- Perform data entry prepare correspondence and assist with reporting functions.
- Review approve and process employee tuition reimbursement requests in accordance with district guidelines.
- Update and maintain department documents and records.
- Serve as a support contact for district HR systems; troubleshooting issues and escalating concerns as needed.
- Assist with HR-related events and programs.
- Issue employee identification badges and manage badge replacement requests.
- Process and proof business card orders for district staff.
- Serve as district office receptionist as scheduled.
- Greet and direct visitors in a professional courteous and welcoming manner.
- Screen and manage calls and inquiries efficiently exercising discretion and sound judgment.
- Maintain current knowledge of district personnel policies and procedures to effectively assist staff.
- Complete required training and participate in professional development activities relevant to responsibilities.
OTHER FUNCTIONS
- Provide clerical and administrative support to HR department staff as needed.
- Assist with incoming and outgoing mail distribution.
- Assist with coordination of office equipment maintenance and service requests.
- Perform other job-related duties as assigned.
KNOWLEDGE SKILLS & ABILITIES
- General knowledge of human resources functions and employment practices
- Familiarity with general office procedures and the use of standard office equipment
- Proficient in Microsoft Office Suite Google Workspace and ability to learn district-specific systems
- Ability to troubleshoot basic system and technology issues
- Strong organizational communication and interpersonal skills
- Ability to manage multiple priorities with efficiency and professionalism
- Ability to maintain confidentiality and adhere to District policies and procedures
- Ability to work independently and demonstrate initiative with minimal supervision
