The Department of Public Safety and Correctional Services (DPSCS) is seeking dedicated candidates to fill important roles within our department. POSITION DUTIES

The main purpose of this position is to provide professionalaccounting support to the Office of Financial Services Accounting of responsibility include: account management and reconciliations; budgetmanagement; and fiscal support to management.

1.Maintains analyzes and adjusts account balances:Responsiblefor the following accounting functions: daily/monthly credit card paymentsapplication to invoices & reconciliation; recording cash receipts loggingmailed-in checks and reconciling with deposit slips investigating and clearingcash receipts and charge backs made by the State Treasurers Office;investigating and reconciling clearing accounts with necessary adjustment and releasing of daily journal entries as may be assigned.

2.Provides Budget Management Support:Responsiblefor updating expenditure tabs on the projection file on a daily/monthly basisfor ITCD to support the Fiscal Officer. Duties include: extracting necessaryreports for budget preparation once available and save them on the shareddrive; reviewing and updating budget expenditure tabs daily/monthly and informsupervisor or the fiscal officer for coding errors and necessary adjustments;reviewing daily and/or monthly the expenditure tabs and/or encumbrance reportsto detect errors and notify the supervisor or the fiscal officer for anyappropriate and necessary adjustments. Assist the department during year endclosing and budget submission activities as may be assigned.

OTHERTASKS:

Prepares detailed accountinganalysis and investigates any accounting related issues such as invoiceschargebacks past incorrect JEs that may possibly affect clearing accountsrevenues and expenditures as requested by her supervisor and/or seniormanagement of accounting unit.

May be asked to assistsupervisor and/or the fiscal officer to communicate with IT department A/Pprocurement associates and STOs office for further investigation of accountingrelated issues.

Participates in the year endclosing and budget submission exercise of the Departments fiscal operations byproviding at the direction of the supervisor and/or senior staff preparationand analysis of actual expenditures. May also assist in the formulation andimplementation of corrective action plans precipitated by projectionexceptions.

Prepares the periodic requestfor expenditure reclassification and adjustment journal entries as may berequested or assigned.

MINIMUM QUALIFICATIONS

Education: A Bachelors degree in Accounting from an accredited college or university including or supplemented by three credit hours in auditing.

Experience: None

Notes:

1. Candidates may substitute a Bachelors degree from an accredited college or university with thirty credit hours in Accounting and related courses including or supplemented by three credit hours auditing for the required education.

2. Applicants who have met the requirements for admission to the CPA examination prior to July 1 1974 will be considered to have met the educational requirement referenced above.

DESIRED OR PREFERRED QUALIFICATIONS

  • Experience preparing and processing financial transactions.
  • Experience creating expenditures disbursements and receipts in an accounting system and/or complex database system.
