The Receptionist is a critical person and serves as first point of contact for guests visitors and vendors. A courteous professional manner and appearance are essential for good public relations. The main objective is to assist the Director of Administrative Services and the Office Manager in helping the Home Office to run smoothly.
Qualifications
High school education or equivalent required.
Must be punctual and dependable. Hours are 9am-6pm (M-F) 1hr lunch.
Must be able to read write speak and understand the English language.
Prior experience in working with public.
Basic computer skills essential.
Must be comfortable with a multi-line and wireless telephone system answering taking messages and transferring calls.
Must be in good physical and mental health.
Must have an interest in people especially the geriatric population.
Ability to work without close supervision and to follow verbal and written instructions.
Must use tact and courtesy in dealing with staff residents their families and visitors.
Must possess the ability to communicate effectively with all levels of management employees and outside contacts.
Must be level-headed in emergency situations and have an acute sense of responsibility.
Must possess a spirit of cooperation and enthusiasm.
Must attend all mandatory company meetings and specified training sessions.
Must maintain confidentiality.
Areas of Primary Responsibility
Receive guests and visitors.
Assist visitors in finding employee offices/conference rooms.
Answer telephone takes messages (to include callers name telephone number time and date of call) respond to all requests and forward information to other staff members.
Announce appointments and arrivals to appropriate staff.
Type memos correspondence reports and other documents as requested.
Back-up for sorting mail and distributing appropriately to mailboxes.
Assists Director of Administrative Services/Compliance Manager.
Order lunches snacks drinks for business meetings.
Create ship and receive FedEx/UPS shipments.
Create and maintain an atmosphere of warmth personal interest and positive emphasis.
Maintain confidentiality of all pertinent resident information to ensure that resident rights are protected.
Be knowledgeable about communities and services while providing families and/or prospective residents with information requested.
Assemble and maintain information packets and notebooks as needed.
Keep front desk and lobby area neat and organized at all times.
Perform other duties as assigned by Director of Administrative Services/Compliance Manager.
