The Program Coordinator for Health Hometowns provides operational administrative and project management support for a major highvisibility health care impact grant. This role works closely with the Program Manager to coordinate strategic planning activities track deliverables manage documentation support grant reporting and maintain compliance with state and federal requirements. The Coordinator ensures efficient daytoday operations facilitates communication among internal and external partners and helps advance program goals across multiple clinical and community initiatives.
Position Type: Specified Term. The initial appointment is for five years. Appointments may be extended based on performance and available funding.
Position Responsibilities:
Strategic & Operational Support
- Assist the Program Manager with planning scheduling and maintaining the program work plan and deliverable tracking.
Track project deadlines and ensure compliance with established schedules and grant/contract requirements.
Monitor resource allocation maintain inventory of project resources and coordinate logistics for program activities.
Support daytoday operations ensuring timely responses to Iowa HHS and partner organizations.
Coordinate scheduling and logistics for technical assistance sessions webinars meetings and stakeholder engagements.
Monitor accounts and expenditures; reconcile statements in alignment with University state and federal guidelines.
Program & Project Coordination
Maintain project trackers calendars dashboards and documentation across multiple workstreams.
Document and track action items decisions risks and issues; ensure updates are captured and communicated.
Support implementation activities across clinical and community initiatives including hubandspoke model activities.
Assist with procurement contract routing vendor coordination and invoice tracking.
Grant Administration & Compliance
Monitor compliance with contract and grant terms in accordance with institutional state and federal regulations.
Assist with preparing grant reports financial summaries and deliverable documentation for the Agency and other stakeholders.
Maintain organized auditready files for deliverables approvals expenditures and regulatory submissions.
Information Management
- Collect organize and maintain program data for reporting reimbursement tracking and evaluation purposes.
- Support preparation of progress reports annual updates and required documentation for the Agency and funding bodies.
- Maintain wellorganized document and data systems.
Communications & Stakeholder Support
- Assist in scheduling meetings preparing agendas and coordinating materials.
- Facilitate information flow among team members partners and stakeholders; ensure timely communication of updates.
- Prepare and distribute participant materials resources and followup documentation.
- Maintain stakeholder directories communication logs and engagement calendars.
Required:
- Bachelors degree in public health health administration public policy social sciences or related field or the equivalent combination of education and experience.
1 year of experience supporting programs projects or grants.
Excellent written verbal interpersonal communication skills.
Strong organizational skills with exceptional attention to detail.
Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
Proficiency in Microsoft Suite (PowerPoint Word Excel).
- Willingness to travel statewide.
Valid drivers license plus the ability to meet the University of Iowa Fleet Safety program driving standards.
Demonstrated experience working effectively in a welcoming and respectful workplace environment.
Desired:
- 2 years of experience supporting programs projects or grants.
- Related experience working with state or federal health agencies.
- Knowledge of health care delivery systems or rural health partnerships.
- Experience with data dashboards or project management tools.
- Knowledge of University and UI Health Care policies procedures and regulations.
- Experience with overseeing and organizing events.
