Job Summary

Role: Bid Administrator

Contract: Permanent full time.

We are a business law firm with extensive knowledge and experience in all areas of Irish business-related law and with particular focus on the Energy Technology Financial Services Built Environment Healthcare Life Sciences and Charities sectors.


Our Bids team is seeking a Bid this role you will provide vital administrative support to our busy bids team ensuring the smooth and efficient delivery of bid activities. Key responsibilities include maintaining bid trackers updating and refreshing bid templates managing precedent documents and preparing lawyer CVs and other materials needed for position is ideal for an experienced administrator with strong attention to detail and advanced skills in Microsoft Word Excel and PowerPoint. Were looking for someone with a flexible team-focused approach.


Responsibilities Include:

  • Update the various team trackers and internal bid information regularly.

  • Update the bid templates as required and create new practice area templates when requested to do so.

  • Update precedents and contract examples documents with latest information as required.

  • Prepare organisational charts for bids.

  • Prepare draft CVs for bids and follow up with the practice area teams for updates.

  • Create CV templates for new starters.

  • Coordinate the bid library/database project and keep updated with current information.

  • Managing your own workload and keeping whilst managing administrative duties and projects which are assigned to you.


Candidate Requirements:

  • 2 years of administrative support experience.

  • Highly proficient with Microsoft Word with skills including: document formatting generating automated tables of contents managing section breaks/page breaks properly anchoring and styling graphics/charts/text boxes etc.).

  • Proficient with PowerPoint and Excel.

  • Excellent attention to detail time management and organisational skills.

  • Flexibility in a deadline driven environment.

  • Ability to manage own workload meet deadlines and work on own initiative.

  • Experience from a legal and/or bids environment is an asset but not a necessity.
