Job Summary and Purpose

The Assistant to the Superintendent performs complex clerical tasks and is responsible for all administrative work in the Office of the Superintendent. The position supports division wide operations executive level coordination School Board functions and strategic initiatives to ensure organizational effectiveness compliance and high-quality service to our stakeholders. Successful candidates will demonstrate strong abilities in comprehensiveadministrative work via written and oral communication calendar management and effective use of technology tools as well as demonstrate sound judgment in escalating issues and interacting with stakeholders.

Work Objectives/Essential Functions

  • Welcome and screen visitors telephone calls and mail.
  • Answer questions provide information and direct requests to appropriate department or agency.
  • Produce review and correct letters memoranda reports and other requested documentsfor the Superintendent and School Board with high attention to detail.
  • Prepare and reply to routine correspondence independently.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Manage the Superintendents calendar and travel arrangements.
  • Support division wide operations to ensure cross-departmental productivity and compliance with School Board policies regulations and established procedures.
  • Plan and coordinate high-level meetings involving the Superintendent and/or School Board members.
  • Monitor and maintain budget for the Office of the Superintendent including tracking expenditures and keeping accurate financial records in accordance with division procedures.

Education and Experience

Education Attainment (Required):High school diploma or equivalent
Education Attainment (Preferred):Associates degree or equivalent; coursework in clerical techniques and office procedures
Relevant Experience (Required):Six (6) or more years
Relevant Experience (Preferred):Experience in a K-12 school environment (school or central department)
Industry Licensure or Certifications (Required):N/A
Industry Licensure or Certifications (Preferred):Professional Administrative Certificate of Excellence (PACE) ASAP
Certified Administrative Professional IAAP

AdditionalKnowledge Skills and Abilities

Knowledge

  • Business language and composition including proper spelling and punctuation
  • Thorough knowledge of English grammar and usage

Skills

  • High level use of Microsoft Office (including Word Excel and Powerpoint)
  • High level use of G Suite applications (including Gmail Calendar Drive Docs Sheets and Slides)
  • Proficient in technology integration including application of AI tools to improve communication and operational efficiency
  • Proficient in executive-level calendar management and scheduling
  • Proficient in layout and formatting of complex forms and tables
  • Proficient in basic research and preparation of reports and informational briefs
