Job Summary:
The University of British Columbias English Language Institute (ELI) is seeking a Program Assistant for the Languages at Work Program (LAW). The LAW Program is a joint initiative with the ELI and Young Canada Works that finds and oversees work placements for students enrolled in the Explore Program. The Explore program is funded through the Department of Canadian Heritage and the Official Languages Program. The Program Assistant must work closely with the Fédération de la Jeunesse Canadienne-Française (FJCF) to place and monitor Explore students who work in short-term summer positions in the Lower Mainland after their studies at the ELI. These work placements provide opportunities for students to continue working on their English language skills. This position will also provide support to ELIs administrative and sociocultural areas.

The successful candidate will be required to attend a training session and must also consent to and pass a BC Criminal Record Check.

Organizational Status:
Reports to the ELI Associate Director of Instruction & Learning and works under the limited supervision of the Academic Coordinators and ELI support staff.

Work Performed:

Languages at Work

  • Promote the Languages at Work program to Explore bursary recipient students and potential employers

  • Recruit Explore students to participate in the Languages at Work Program

  • Cultivate new opportunities and build new relationships with local businesses to accept Languages at Work students

  • Develop meaningful relationships with green workplaces and green jobs

  • Be the local point of contact for students and employers regarding inquiries related to the Languages at Work program

  • Facilitate the matching of students and employers connected to work placements

  • Monitor and support students throughout their work placements

  • Produce an activity report at the end of the program and submit this report to the FJCF

  • Handle and document exceptional situations in consultation with the Program Director and the FJCF

Administrative

  • Provides administrative assistance related to ELI summer language programs

  • Assists with program area special projects as necessary

  • Other duties as assigned

The following responsibilities may also be performed on an as needs basis:

Workshop Leader and Cultural Assistant

  • Leads or assists in workshops for the Explore Program

  • Covers ELI Cultural Assistant assignments as necessary

  • Leads or participates in sociocultural activities

  • Other duties as assigned


Consequence of Error/Judgement:
Errors in judgement and poor decision-making impact the image of both ELI and UBC.

Supervision Received:
Works under limited supervision under the general direction of the ELI Associate Director of Instruction & Learning. Also works under the limited supervision of the ELI Academic Coordinators.

This position is funded by the Young Canada Works (YCW) program. Therefore the candidate must:

  • Be proficient in both French and English;

  • Be legally entitled to work in Canada;

  • Be a Canadian citizen permanent resident or have refugee status in Canada;

  • Be between 19 and 30 years at the start of employment;

  • Be willing to commit to the full duration of the work assignment;

Additional Qualifications:

  • Able to work with minimal supervision take initiative establish priorities and respect deadlines;

  • Strong interpersonal skills in order to maintain positive relationships with students and employers;

  • Strong organizational and communication skills (verbal written electronic);

  • Flexible and willing to adapt to changing responsibilities and dynamic situations;

  • Demonstrated ability to work as a part of a team and lead groups;

  • Experience working in a culturally diverse context;

  • Excellent computer literacy skills (Windows MS Office Excel Canva);

  • Experience with exchange programs is an asset.
