Job Summary

Description

The Registrar serves as the chief academic records officer of the institution and provides strategic leadership for all functions related to academic records registration curriculum management enrollment reporting degree conferral and student information system (SIS) administration. The Registrar ensures academic integrity regulatory compliance and data stewardship while delivering efficient student-centered services that support institutional effectiveness and student success. As a member of the Student Affairs leadership team the Registrar contributes to divisional strategy retention initiatives operational modernization and cross-functional governance.

Specific Duties and Responsibilities:

  • Provide leadership vision and oversight for the Registrars Office.
  • Develop and implement strategic goals aligned with institutional policies.
  • Supervise mentor and evaluate Registrar staff.
  • Establish performance metrics service standards and continuous improvement plans.
  • Build a culture of accountability service excellence and compliance.
  • Serve as custodian of all academic records.
  • Oversee course registration enrollment verification transcript processing and academic standing.
  • Manage academic calendar production and maintenance.
  • Administer grading processes and academic history accuracy.
  • Certify degree completion and oversee commencement processes.
  • Ensure FERPA compliance and student record confidentiality.
  • Ensure compliance with state authorization regulations accreditation standards (i.e. CCE and HLC) and federal reporting requirements.
  • Oversee enrollment reporting.
  • Service as functional lead for the Student Information System (SIS).
  • Partner with IT on system governance configuration optimization and security.
  • Lead SIS implementation upgrades and process redesign efforts.
  • Ensure data integrity and consistency across systems.
  • Develop documentation and training for institutional stakeholders.
  • Develop internal dashboards and reporting frameworks.
  • Support strategic decision-making with accurate enrollment and completion data.
  • Partner with Academic Affairs on curriculum approvals and catalog governance.
  • Partner with Admissions on matriculation and transfer credit articulation.
  • Partner with Financial Aid on enrollment status and reporting.
  • Partner with Academic Support Services on retention and intervention workflows.
  • Manage department budget.
  • Maintain current professional and technical expertise
  • Perform other duties as assigned.

Minimum Qualifications:

  • Bachelors degree required.
  • Minimum 5-7 years of progressively responsible experience in a Registrars Office.
  • Supervisory experience required.
  • Demonstrated knowledge of FERPA IPEDS reporting accreditation standards and academic policy development.
  • Strong analytical and organizational skills.
  • Proficiency in all Microsoft Office Suite products
  • Exceptional leadership and team building skills
  • Strong interpersonal and communication abilities
  • Analytic and strategic thinking for program development and assessment
  • Proficiency and budget management and resource allocation
  • Ability to analyze and resolve difficult problems; ability to apply appropriate discretion and judgment in a variety of decisions
  • Ability to perform assigned duties with time pressures and frequent interruptions.
  • Ability to calculate and analyze numerical data
  • Ability to communicate effectively
  • Ability to work various hours as job requires.

Preferred Qualifications

  • Masters degree in Higher Education Administration Business or related field.
  • Experience leading or supporting SIS implementation or optimization.
  • Salesforce experience preferred.

Physical Requirements and Work Environment:

  • Perform sedentary to light work in a ventilated lighted and temperature-controlled office setting
  • Frequent need to stand stoop walk sit lift objects (up to 10 pounds) and perform other similar actions during the workday
