ABOUT THE ROLE
This position is responsible for providing administrative support to the Senior Executive Officer People Equity and Culture including handling sensitive and confidential human resources and political issues conducting research and preparing documentation correspondence and minutes. Creates reports and presentations reviews and organizes materials for senior level executive meetings and briefs the Senior Executive Officer on matters of interest as appropriate. Responds to and/or redirects inquiries/communications; maintains office records management systems; supports the administration of programs for PEC; and completes special projects as assigned.
WHAT YOULL BE DOING
- Handles confidential matters including sensitive human resource issues as per direction.
- Maintains the security and release of confidential/sensitive documents manages messages and ensures that the Senior Executive Officer has background information; acts/responds and follows-up on email inquiries as necessary.
- Prioritizes conflicting needs; handles confidential and sensitive matters expeditiously proactively and follows-through on projects to successful completion.
- Provides confidential administrative support including support for ongoing projects preparing confidential correspondence and responding to messages.
- Provides support during the negotiations of collective agreements with the Unions including providing support for the submission of Council Reports.
- Coordinates meetings conferences seminars and training sessions including booking facilities and services arranging registration travel and accommodation.
- Researches writes prepares and co-ordinates background material presentations and/or briefing notes for responses to inquiries and for meetings and reports.
- Prepares agendas on behalf of the Senior Executive Officer for meetings as appropriate; follows up with appropriate parties including liaising with executives and senior management.
- Reviews and organizes material brings forward and briefs Senior Executive Officer on matters of interest; attends meetings for the purpose of recording minutes and transcribes/distributes minutes to the appropriate individuals and ensures follow-up.
- Responsible for organizing the Branch Offsite meetings for People Equity and Culture.
- Takes a lead on assigned special administrative projects for Human Resources including creating presentations workflows dashboards and trackers.
WHAT WERE LOOKING FOR
- Successful completion of a Community College Diploma in Business Studies or related field or approved equivalent combination of education and experience.
- Minimum five (5) years of progressively responsible relevant administrative experience with senior management/executive offices preferably within a human resources labour relations environment with an emphasis on reports determining priorities and organizing activities of a diverse work assignment.
- Knowledge of general office procedures preparing documents and records management practices.
- Familiarity with processes in human resources including labour relations practices grievance procedures and negotiation processes.
- Strong political acumen and ability to handle confidential and sensitive matters.
- Advanced proficiency in virtual platforms and MS Office Suite including the use of virtual platforms for conducting meetings and/or presentations.
