A Leading Pharmaceutical Company based in Western Cape is seeking an Office Assistant to join their organization.
Job Purpose:
The Office Assistant will organize and coordinate office administration and procedures to ensure organizational effectiveness efficiency and safety. The Office Assistant is responsible for developing intra-office communication protocols streamlining administrative procedures and inventory control. Also handling a wide range of administrative duties and executive support. Assist the Financial function with creditors clerk duties and coordinate events
Key Duties & Responsibilities:
Organized and embrace administrative challenges of supporting an office of diverse people:
- Organise and schedule meetings and appointments
- Coordinate activities throughout the company to ensure efficiency and maintain compliance with company policy
- Manage agendas travel plans and appointments for senior management
- Manage emails letters packages phone calls and other forms of correspondence
- Support other functions
- Track and replace office supplies and necessary
- Submit reports and prepare proposals and presentations as needed
- Organize company events or meetings
- Prepare operational reports and schedules to ensure sufficiency
- Design and implement filing systems
- Analyse and monitor internal processes
- Review and approve office supply acquisitions
- Establish and monitor record-keeping
- Participate actively in the planning and execution of company events
- Provide general support to visitors
- Coordinate with IT department on all office equipment
- Assist with onboarding of new employees
Finance Responsibilities:
- Responsible for Creditors payments invoicing and recording of financial transactions
- Capture and process invoices
- Ensure payments are made to comply within the set standards
- Review petty cash reconciliation
- Ensure transactions are properly recorded and captured
- Maintain the accounts payable systems
- Ensure invoices are matched against requisitions purchase orders and goods received notes with reference to quantities quality description and price.
- Ensure requisitions purchase orders and invoices are properly authorized and are in accordance with the appropriate levels of authority.
- Ensure invoices related to contracts agree to the contract.
Minimum Requirements
- Diploma in Office Administration or relevant experience
- Strong organizational and planning skills
- Proficient in Microsoft Office
- Knowledge of accounting data and administrative management practices and procedures
- Knowledge of business and management principles
