BACKGROUND AND PURPOSE OF THE ASSIGNMENT:
The Management Services Division (MSD) at HQ is a division comprised of over 200 colleagues across Rome UAE & India. The HQ division supports WFPs 20000 humanitarians and is represented by more than 3000 functional focal points present throughout all of WFPs offices. Within WFP Management Services colleagues play an integral role in keeping WFP operations and programmes running smoothly and cost-efficiently even in the toughest conditions so the focus can remain on WFPs core mandate of serving our beneficiaries.
Our global service portfolio for WFP is focused on enabling operations and providing a duty of care to WFPs workforce. This includes providing infrastructure and emergency response capacity through sophisticated engineering services light fleet management delivering and maintaining the most fit-for-purpose facilities measuring and reducing our environmental impact managing our pool of assets providing travel services for WFP employees and humanitarian accommodation - with administration field support available in all these areas.
MSD is the strategic Business Partner that Enables WFPs workforce and operations by driving performance with duty of care sustainability and innovation.
The volunteer will report to the HR officer in the Division as part of the Division Front Office. He/she will be an integrated part of the team bringing his/her knowledge and interest to the role a passion for people and innovative ideas to the table in various areas of Human Resources.
KEY OUTPUTS/RESPONSIBILITIES:
1. Gain a deep understanding of MSDs deliverables and operations to provide excellent talent acquisition support
2. Contribute to the teams ongoing projects including proposing viable approaches and solutions
3. Support the identification of MS Global talent for deployments within the function
4. Support the team with the skill mapping exercise and keep the data up to date being sure to reach the entire MS community
5. Support the team for the reassignment preparation
6. Manage vacancy announcements in the Applicant Tracking System (Work Day): job postings open position information etc
7. Support system creation of technical assessments
8. Screen candidates against an established set of criteria
9. Help boost the recruiting pipeline by sourcing passive candidates and leveraging social media to publicise the organization and open roles
10. Support with data analysis
11. Perform other duties as required.
SUPERVISION (LEVEL/METHODS OF SUPERVISION):
Under the direct supervision of an experienced HR Officer the incumbent will be provided with close mentoring guidance and technical supervision. Performance planning and reviews and learning and development discussions will be an elemental part of the supervision. With the support of a comprehensive induction package the volunteer will rapidly become a productive member of the team.
QUALIFICATIONS AND EXPERIENCE:
Proficiency in Windows MS Office (Word Excel PowerPoint)
Excellent command of English; Working knowledge of a second UN language would be an asset
Work experience or exposure to Talent Acquisition Human Resources and project management is highly desirable
Ability to collaborate effectively with cross-functional team members
Strong analytical and communication skills
Ability to handle confidential information with diplomacy
Ability to think creatively and strategically
Ability to be flexible multi-task prioritise and manage multiple activities simultaneously in a fast-paced changing environment
Strong attention to detail
DESIRABLE REQUIREMENTS:
Experience with an Applicant Tracking System (ATS)
Knowledge of social media outreach platforms is highly desirable.
