The Business Office Specialist performs clerical and financial support functions for the District with primary responsibility for accounts payable and related bookkeeping activities. This position assists in monitoring fiscal transactions and maintaining accurate financial records to ensure the efficient and compliant operation of the Business Office. The Business Office Specialist supports the Districts financial processes to help maintain effective educational operations.
General Information/Duties:
- Process accounts payable including vendor payments and invoice verification.
- Reconcile system check registers with daily financial spreadsheets.
- Scan and upload accounts payable check runs into the financial management system.
- Process and verify purchase orders for completeness and accuracy.
- Prepare and distribute vendor correspondence as needed.
- Create invoices and monitor payment receipts.
- Prepare and process annual 1099 documentation in accordance with regulatory requirements.
- Maintain computerized bookkeeping and accounting records.
- Maintain confidentiality of financial and employee information.
- Ensure compliance with Michigan laws regulations and financial reporting requirements (including GASB MPSERS state aid CEPI School Aid Fund etc.).
- Effectively and consistently communicate and interact with staff.
- Maintain up-to-date and accurate records.
- Attend all mandatory staff meetings events or trainings
- Other duties as assigned by the Director of Business Services
Qualifications:
Minimum Education & Experience:
- High school diploma or equivalent required.
- Knowledge of bookkeeping and accounting principles.
- Proficiency in Microsoft Office and Google Suite.
Preferred Education & Experience:
- Associate degree in applied science business administration or other related field
- MSBO Business Office Specialist Certification or the ability to attain certification required.
Required Skills & Abilities:
- Knowledge of basic accounting and financial recordkeeping practices.
- Strong organizational and time management skills.
- Attention to detail and accuracy.
- Effective written and verbal communication skills.
- Ability to manage multiple tasks and meet deadlines.
- Ability to operate standard office and accounting equipment.
- Ability to work independently and apply established policies and procedures.
- Ability to maintain strict confidentiality.
Terms of Employment:
Part-time hourly non-exempt position hired through EDUStaff.
