Position Summary
To provide comprehensive administrative support to the iGaming Leadership Team (iGLT) and as needed to other senior members of the iGaming Extended Leadership Team (iGXLT). This is a dynamic high-paced role requiring a proactive highly organised individual capable of managing competing priorities coordinating across time zones and working to tight deadlines. You will work closely with another Senior Executive Assistant to ensure smooth and efficient operations.
Key Responsibilities:
Provide proactive administrative support to the iGLT and where required the iGXLT.
Manage and prioritise complex diaries rescheduling meetings as needed and ensuring executives are prepared.
Occasionally manage executive inboxes and flag urgent items.
Attend and take minutes/action points at fortnightly iGLT and iGXLT/other key meetings.
Schedule and coordinate internal and external meetings appointments and events.
Book and manage all travel arrangements including flights accommodation transfers and visas.
Assist with internal events (e.g. offsites workshops) for the iGLT/iGXLT.
Ensure executives are fully briefed ahead of meetings and events.
Act as the administrative point of contact for special projects managed from the London office.
Manage invoices expenses and holiday requests using appropriate systems.
Maintain up-to-date contact lists and distribution groups.
Handle confidential documentation including legal and licensing materials requiring executive signatures.
Liaise with Finance to manage T&E budgets and provide regular reports to the iGLT.
Monitor corporate card balances and ensure timely reconciliation.
Collaborate with HR and Marketing for internal communications and event support.
Manage catering and room bookings for meetings; accommodate dietary requirements as needed.
Maintain external client relationships and coordinate with vendors (e.g. taxis restaurants).
Manage third-party subscriptions for iGLT/iGXLT members.
Other administrative duties as required.
Knowledge and Experience:
Proven experience as an Executive Assistant in a fast-paced high-growth business
Demonstrated experience handling confidential information with discretion
Familiarity with corporate processes such as invoicing and expense reporting
Qualifications
Exceptional organisational and time management skills.
Ability to manage multiple competing priorities under pressure.
Strong verbal and written communication skills.
Highly responsive and reliable across all forms of communication.
Proactive professional and capable of working independently.
Strong interpersonal skills with the ability to build relationships at all levels.
Calm and composed under pressure; adaptable and flexible.
High attention to detail and a sense of urgency.
Proficiency in Microsoft Office Suite (Outlook Word Excel PowerPoint); knowledge of tools like Concur or SAP is a plus.
