Position Overview:
This position reports to the Director of Clinical Research Solutions and supports strategic and operational goals to ensure high-quality efficient and compliant Data and Safety Monitoring Board operations.
We are seeking a Safety Committee Administrator to provide administrative and operational support for safety oversight committees such as DSMBs. This role is central to ensuring the smooth scheduling logistics coordination and documentation maintenance necessary to uphold patient safety and clinical research quality standards.

Core Responsibilities:
Coordination & Logistics Support
- Schedule and coordinate safety committee meetings including calendar invitations agenda development and material distribution.
- Track meeting action items and follow up with stakeholders to ensure timely resolution.
- Serve as a primary point of contact for committee members committee leadership and Safety Committee Specialists regarding meeting logistics and administrative needs.
- Support onboarding and Conflict-of-Interest (COI) documentation for committee members.
- Assist in the development and maintenance of user guides and process maps for safety committee workflows.
- Contribute to team training initiatives and support onboarding of new administrative staff.
Administrative Support- Maintain accurate and organized documentation including rosters charters COI forms meeting minutes and correspondence.
- Assist with contract documentation tracking and committee member payment processing.
- Support version control document management and storage for all safety committee documentation.
- Enter and track committee activity in electronic management systems (e.g. SharePoint or equivalent).
- Prepare routine status reports on meeting schedules membership and compliance metrics.
- Serve as a peer reviewer of documentation and processes.
- Use system-based tools to support data-driven tracking of committee operations including document version control meeting timelines and member activity while ensuring compliance with audit and reporting requirements.
- Identify risks or delays in committee operations and escalate appropriately.
Collaboration & Communication- Collaborate with safety committee chairs members study teams and internal stakeholders to align expectations and timelines.
- Respond promptly to inquiries related to committee coordination documentation and procedures.
Required Qualifications:- Bachelors degree preferred or equivalent experience would be accepted.
- 3 years of experience providing administrative support in clinical research healthcare or a related field.
- Experience supporting Safety Monitoring Committees (DSMBs) is highly desirable.
- Proven organizational skills and ability to manage multiple priorities and timelines with attention to detail.
- Strong written and verbal communication skills; ability to work diplomatically with diverse stakeholders.
- Process-oriented mindset with a drive to improve administrative efficiencies.
- Adaptability and resilience in a dynamic fast-paced environment.
- Strong sense of ownership responsibility and teamwork.
- Meticulous attention to detail and commitment to quality and compliance.
