JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Coordinator coordinates and manages executive level administrative activities for the Senior Associate Dean for Community Health Engagement with dual roles within the Center for Health in Justice Involved Youth and for the office of Community Health engagement. This position provides administrative and additional support for the areas mentioned above.
ResponsibilitiesProvides dual support to the Director Faculty and other administrative staff in the Center for Health in Justice Involved Youth (CHJIY) and the Office of Community Health Engagement (OCHE).
Schedules meetings and appointments and maintains calendars for the Director in dual roles.
Coordinates the community outreach/engagement work for the Center and its staff including project meetings as well as major conferences/symposia which may include logistics and program materials and preparing first drafts/providing initial development for the Director of presentation and marketing materials.
Assists with the management of internal and external relationships through professional and positive interpersonal interactions including managing and scheduling meetings and conferences triaging priorities and meetings.
Utilizes various software packages (Word Excel PowerPoint) to generate correspondence and presentations.
Processes payment requests in coordination with the departmental financial staff reviews incoming invoices ensures satisfactory delivery of goods or services and obtains proper approvals of payments.
Processes initial travel requests and coordinates travel plans for the Director and other parties.
Processes and pays various departmental invoices petty cash and transfers. Orders and maintains an inventory of supplies.
Serves as liaison for SharePoint databases and shared calendars.
Maintains electronic inventory of records ensuring proper retention and schedule of destruction of old files.
Performs other related duties as assigned.
QualificationsMINIMUM REQUIREMENTS:
EDUCATION:High School Diploma or GED. (TRANSCRIPT REQUIRED)
EXPERIENCE: Five (5) years of professional administrative support experience; OR Bachelors Degree and one (1) year of professional administrative support experience; ORAssociates Degree and three (3) years of professional administrative support experience.
KNOWLEDGE SKILLS AND ABILITIES:
- Proficient knowledge of financial systems.
- Superior proficiency and knowledge of Microsoft Office: Outlook Word PowerPoint and Excel skills.
- Excellent interpersonal oral and written communication skills and time management.
- Ability to prioritize work and maintain confidentiality.
- Ability to work independently as well as collaboratively.
- Ability and skill in developing correspondence and proofreading for accuracy with high attention to detail.
WORK SCHEDULE: This position may be occasionally required to workevenings.
