Job Summary

Responsibilities
Coordinate and manage all local and regional travel arrangements including accommodation rental vehicles and company vehicles
Provide support with visa application processes by preparing documentation and monitoring progress
Process verify and reconcile travel-related invoices in accordance with internal procedures
Maintain accurate travel schedules registers spreadsheets and administrative records
Assist with personal protective equipment requests and ensure effective stock control
Arrange and maintain records of employee medical examinations and compliance requirements
Manage staff accommodation arrangements and maintain related documentation
Support travel-related emergencies itinerary changes cancellations and re-bookings as required
Provide backup support for front desk functions including receiving visitors and handling general administrative duties
Deliver ongoing administrative support to the Office Management team and assist with ad hoc tasks as required
Qualifications
High School Diploma or equivalent qualification
Additional qualification or certification in travel tourism or office administration is advantageous
Key Skills
Strong administrative and organisational capabilities
Intermediate to advanced proficiency in Microsoft Word Excel and PowerPoint
Experience working with accounting or financial systems with Sage experience advantageous
High level of attention to detail and accuracy
Ability to perform effectively under pressure and meet strict deadlines
Strong planning coordination and time management skills
Experience in managing complex travel arrangements including group and international travel
Sound decision-making and problem-solving abilities
Understanding of basic travel risk management principles
Strong written and verbal communication skills
Ability to interact professionally with employees at all levels of the organisation
High level of confidentiality integrity and professionalism
Knowledge of relevant travel industry regulations policies and ethical standards
Flexible and adaptable approach to administrative responsibilities
