The MDH Education Department are seeking an enthusiastic and passionate Administrative Assistant to join our team. The role of the Administrative Assistant is to provide the administrative and support services for the Education Unit. This position is responsible for the administration of applicable IT databases unit reporting and student placement support as part of the education team. This position requires an enthusiastic proactive attitude a high level of technical and administrative skill in data management interpreting and reporting data in multiple complex systems. This requires a high-level of written and verbal communication literacy and IT capabilities with the capacity to work both independently and in a small team environment. This position reports to the Education Manager.
Key responsibilities:
- Administer the MDH online learning management system including generation of activity reports.
- Administer and process education and training documents.
- Manage the records of the education department and generate reports as required by executives head of department and for key organizational meetings.
- Support the administration of student placements including reporting quarterly to finance for billing and invoicing administration of attendance records and PlaceRight administration of documents.
- Support education with the coordination and administration of education activities including MDH Training Day attendee register and education calendar activities.
- Maintain unit resources and monitor processes for improvement
- Education data processing and reporting as requested for compliance (e.g: Finance and Accountability reports).
- Monitor and input information to the education intranet site.
Key selection criteria:
Essential:
- Certificate III in Business/Office Administration or equivalent and relevant experience.
- High-level written and verbal communication skills
- Demonstrated literacy and ability to manage and interpret specialist data sets
- Demonstrated abilities using Microsoft Office and associated applications
- Excellent ability using Excel formula management and reporting
- Ability to use electronic and manual office equipment
- Demonstrated ability to prioritise tasks and work independently
- Proven ability to work within a team environment
- Complete vaccination record
- Understanding and commitment to privacy and confidentiality
Desirable:
- Experience within the healthcare industry
- administration experience within an education or training environment
