Tallaght University Hospital (TUH) is a model 4 voluntary academic teaching hospital partnered with Trinity College and situated in south west Dublin. With a staff of over 4000 people from 63 differentcountries it provides both acute and tertiary care to an increasing population of circa 800000 people and is a provider of local regional and national specialties. It is also a National Urology Centre the second largest provider of dialysis services in the country Pelvic and Acetabulum National Centre and a designated Trauma Unit.

The Hospital is part of the newly established HSE Dublin & Midlands Region which serves a population of over 1.2 million across seven counties and operates under the governance of an independent Board of Directors who give their time on a voluntary basis. TUH is also supported by the Adelaide Health Foundation the Meath Foundation and Tallaght University Hospital Foundation.

The Administration Assistant Grade IV will be responsible for ensuring the smooth running of the administration support for the department they are assigned to.

Key Duties and Responsibilities
  • Perform all Administrative duties related to the CRF.
  • Demonstrate excellent office based communications skills including phone email letter writing and note-taking and be able to communicate effectively in a clear and concise manner
  • Demonstrate a capacity to deliver on results within timeframes
  • Demonstrate excellent Customer Services skills
  • Demonstrate knowledge and skills to be an effective administrator including the ability to:
    • Take direction/follow instructions
    • Organise and prioritise work effectively
    • Work independently and as part of a team
    • Ability to work with little supervision and have respect for confidentiality
  • Perform duties as required by the Head of Research and Mitchell
  • Provide technical assistance to research applicants in the use of the online review portal Infonetica
  • Data entry for ongoing Research and Clinical Trials within TUH
  • Consenting patients for upcoming Research in TUH
  • Managing the Research Office HR process and provide support to researchers gaining access to TUH.
  • Working with the finance department and the Clinical Trials and Contracts Officer to invoice sponsor companies for the contracts signed
  • Manage and update the Research department Webpage and Intranet page
  • Work with the medical records department to approve research chart requests
  • Log and Archive documents to be sent to an offsite storage facilityAdvertise research events and information through both the Touchpoint newsletter and the digital display screen
  • Preparing blood samples for Research and Clinical Trials including spinning samples in a centrifuge and preparing them for shipping
  • Other Research related roles as required by the Head of Research.
  • Assist with the establishment of the Clinical Research Facility
  • Use of computer packages relevant to the role
  • Carry out any other duties which may be assigned from time to time

Additionally the duties of the role will change as the CRF is developed as this role will be established during the set up phase of the CRF

General accountability:
  • Commitment to continuous professional development including completion of relevant internal training programmes available through our Centre for Learning & Development Prospectus.




Qualifications & Experience required
Must have:
  • Have obtained at least Grade D3 in five subjects in the Leaving Certificate Examination (higher ordinary applied or vocational programmes) or equivalent
Or
  • Have passed an examination at the appropriate level within the QQI qualifications framework which can be assessed as being of a comparable to Leaving Certificate standard or equivalent or higher i.e. Fetac Level 5
Or
  • Have satisfactory relevant experience which encompasses demonstrable equivalent skills
And
  • 2 years relevant administration experience
  • Practical experience of use of IT systems / packages
  • Fluent command and understanding of the English language to include spoken and written word
  • Experience of Microsoft office i.e. Word Excel Outlook PowerPoint

Desirable:
  • Minimum of 1 years administration experience in Healthcare environment
  • Administration experience in the Clinical Research and Clinical Trial ecosystemn
  • Knowledge of hospital clinical research including; Clinical Trials Observational Studies and Retrospective Chart Reviews
  • Knowledge of Clinical Trial Legislation Data Protection Legislation including the Health Research Regulations







Reward & Recognition
  • Remuneration is in accordance with the Department of Health Consolidated Salary Scales 1st August 2025.

  • The appointment is full-time temporary and pensionable.
  • The annual leave entitlement is 27 working days per year. The leave year runs from 1st April to the 31st of March each year.
  • Normal working hours are 35 worked over 5 days. Your contracted hours of work are liable to change between the hours of 8 am to 8 pm over 7 days to meet the requirements for extended day services in accordance with the terms of the Framework Agreement.
