Your role
Executive Support & Calendar Management
Manage complex and dynamic executive calendars across multiple time zones.
Ensure communications are managed efficiently with professionalism and discretion.
Schedule prioritize and coordinate meetings ensuring alignment with business priorities.
Prepare and manage meeting agendas materials and follow-up actions.
Screen and manage correspondence ensuring timely responses and appropriate escalation.
Travel & Expense Management
Coordinate domestic and international travel arrangements including flights accommodation ground transport and itineraries.
Manage travel documentation and ensure compliance with company travel policies.
Ensure communications are managed efficiently with professionalism and discretion.
Prepare submit and reconcile expense reports accurately and on time.
Procurement & Financial Administration for the EMEA Finance Leaders
Raise and manage purchase orders in accordance with internal processes and approval requirements.
Liaise with the Accounts Department and assist with responding with invoice queries
Track invoices and liaise with finance and vendors to ensure timely processing and payment.
Maintain accurate administrative and financial records as required. Meeting & Event Coordination
Organize and attend EMEA Finance/Accounting/Tax Team leadership meetings. Prepare agenda take minutes during the meetings and distribute as necessary. Set up video-conference facilities when required.
Plan and coordinate EMEA executive and leadership meetings (budget/long range plan/market review meetings) including logistics materials and participant communication.
Work closely with other EAs/PAs both internally and externally and provide support for their stakeholders as and when required.
Organize team events workshops and offsites managing logistics vendors and budgets. Support preparation of presentations and documentation for internal and external meetings.
Compile and manage data for high level reports/ presentations.
Produce and develop reports and presentations for key stakeholders.
Provide administrative support for key projects and change management initiatives supporting project planning presentations tracking milestones monitoring action items and coordinating stakeholders.
Use Microsoft tools to assist with amending and adding tasks for team members assist with the team Initiatives when necessary
Support cross-functional initiatives and ensure timely follow-up on deliverables.
Maintain organizational systems and processes to support operational efficiency.
Assist with the onboarding process for new joiners in the finance team.
Create and maintain email distribution lists MS teams groups and generic finance share point up to date maintain user group permissions
What youll need
At least 3-5 years experience working as an office manager or in an assistant position
Fluent in English both written and orally
Very good knowledge of Microsoft Office programs
Strong planning and prioritization skills
Proactive and solutions-oriented approach
High level of professionalism and discretion
Strong stakeholder management skills
