Job Summary

The York Region District School Board (YRDSB) supports a flexible working culture and currently provides the opportunity for employees to work from home in addition to working in the office for some positions. The YRDSB implemented Working From Home Guidelines to facilitate this work option. Please note this does not apply for school based positions.

In compliance with Board policies and procedures responsible for the daily operation and monitoring of the Staff Absence Replacement System (STAR). This includes managing replacement staff (occasional teacher educational assistant DECE library technician and clerical) records processing applicable paperwork and providing client support to the system users.

Line of Responsibilit y: Responsible to Supervisor STAR Team

Major Responsibilities:

  • To answer queries from schools and staff to ensure accuracy and efficient operation of the STAR system.
  • To sign up new hire replacement staff update records and enter related data on the human resource information system (HRIS) and STAR.
  • To maintain replacement staff records and support related processes.
  • To ensure that replacement staff documentation has been collected and maintained and followed up on when required.
  • To monitor incoming absences and system call out to ensure that positions are filled according to established protocols. This may involve making a decision to cancel jobs and may manually dispatch. System problems must be reported immediately to the system vendor.
  • To review all open job entries in the STAR system daily to ensure compliance and accuracy by school staff.
  • To process year end terminations for non-compliant staff retirements and resignations.
  • To update permanent teacher classifications in STAR system.
  • To liaise with third-party software provider to troubleshoot STAR issues identified by users.
  • To maintain preferred location lists for all replacement staff and update STAR system
  • To input and maintain tracking sheet of all external Long Term Occasional (LTO) contracts.
  • To enter overtime hours in STAR system for approved office staff.
  • To track and provide confirmation of Connect 2 Learn (C2L) training modules for replacement staff.
  • To produce statistical reports and supporting documentation as required.
  • To manually dispatch Emergency Educational Assistant floats for schools and provide reports.
  • To manually dispatch casual clerical staff when required.
  • To record and track leave of absence requests for replacement staff; verify required documentation; update supervisor decisions on STAR system and tracking sheets; and maintain accurate status upon return from leave.
  • To perform other duties as assigned.

Education Experience and Qualifications:

  • A secondary school graduation diploma with two years of post-secondary college is required.
  • Minimum one year in a client services environment or related experience is required.
Leadership:
  • Supervision or people management is not an expectation of this role.
  • Responsible for sharing knowledge and information to employees in regard to the STAR Operating System.
  • Communicates with Contact Occasional Teachers and Designated Early Childhood Educators to maintain their annual association memberships
  • Effective verbal and written communication interpersonal and computer skills are required.
Accountability and Decision Making:
  • Accountable for providing Board standard customer support.
  • Engages with third-party software providers regarding reported technical issues on the STAR operating system.
  • Resolves employees technical issues with the STAR system.
Working Conditions:
  • Typical corporate office environment.
  • Requires use of technology and computer equipment for prolonged periods.

Important Information for CUPE 1734 Members:

LA.11.7 Those twelve (12) month employees filling vacancies as a result of their applying to a job posting are to remain twelve (12) months at their position. Ten (10) month employees are to remain in their position until the end of the school year. This requirement can be waived with permission from the Superintendent responsible for Human Resource Services. This does not prevent employees from applying for a position or from applying for a promotion during the twelve (12) month period.

CUPE 1734 applicants will be considered to have the required educational qualifications based on the job description for the CUPE 1734 classification they currently hold on a permanent basis in accordance with the terms of the CUPE 1734 Collective Agreement.

LA.7.4 Those transferred to positions not covered by this Agreement will retain their seniority accumulated in the bargaining unit for a period of twelve (12) months or up to twenty-four (24) months by mutual agreement of the parties and if transferred back into the bargaining unit within the agreed upon period they shall be credited with all previously accumulated seniority within CUPE 1734 provided that no bargaining unit employee who has completed his/her probationary period shall be displaced as a result of such transfer. Parties may jointly agree to extend past the 24 months upon mutual agreement between the Board the Union and the Employee.

As a condition of employment an d in accordance with the Education Act anyone seeking employment or wanting to volunteer must provide a satisfactory police record check. A Police Vulnerable Sector Check (PVSC) must be completed by the police services in the jurisdiction in which you reside this is based on your home address (only accepted by police services within Canada); must be satisfactory to the YRDSB and completed within six (6) months prior to the scheduled start date. It is the candidates responsibility to provide the results to the Board upon instruction.

We will accept satisfactory PVSCs that name any other school board and other employers (daycare centers OCT and employers that would require a police check for vulnerable persons) in Ontario and obtained within the last six (6) months.
