We are looking for an Operations Assistant who thrives in high-performance environments and is heavily focused on growth. To continue scaling we need an exceptional right-hand person who can manage communication and support outbound lead generation efforts. This is a high-trust high-impact role.
Purpose of the Role
To act as:
- Executive gatekeeper
- Operational organiser
- Communication filter
- LinkedIn presence manager
- Growth support partner
The objective is simple:
Free the Director to sell more solar and grow the business while ensuring no opportunity is missed.
Core Responsibilities:
1. Executive Support & Inbox Management
- Maintain inbox at zero daily
- Draft and respond to emails
- Batch communication and manage follow-ups
- Prioritise high-value leads and urgent matters
- Maintain organised email folders and systems
2. Call Handling & Client Communication
- Take inbound calls
- Make outbound calls for follow-ups and confirmations
- Confirm appointments and site visits
- Professionally handle general client enquiries
- Must have confident spoken English and professional phone manner.
3. Calendar & Time Protection
- Manage and restructure calendar
- Move clients and appointments as required
- Prevent double-bookings and inefficiencies
- Ensure the Director is prepared daily
- Block time for sales strategy and high-value tasks
4. Solar Quote & Sales Support
- Review and send solar quotes
- Follow up outstanding quotes
- Update CRM records
- Assist in tracking lead-to-sale progress
- Ensure documentation is correct and sent promptly
5. LinkedIn Lead Generation & Personal Brand Support (Growth Function)
- Manage LinkedIn account
- Send outbound connection requests
- Respond to messages
- Initiate conversations with builders developers and referral partners
- Follow up warm leads
- Maintain CRM updates from LinkedIn conversations
- Support basic content posting and engagement
Requirements: - Previous experience as an Australian Executive Assistant or Personal Assistant (highly preferred) - Experience supporting a busy business owner - Experience with inbox and calendar management - Experience handling phone calls messages or social media outreach - Solar CRM experience (Pylon Open Solar etc)
