About the Role:

The Engagement Coordinator plays a crucial role in managing the supplier engagement process ensuring that all suppliers and freelancers are efficiently onboarded and have the necessary access to business systems. This role requires strong organizational skills attention to detail and the ability to troubleshoot and resolve issues promptly. The Engagement Coordinator will work closely with hiring managers suppliers and system teams to facilitate a smooth and compliant engagement process.

This role can be in our Warsaw office on a hybrid working model.

As the owner of the engagement process the Engagement Coordinator will collaborate with the Workflow and Process team to continually improve and streamline the supplier engagement process. This includes providing training sessions to equip Hiring Managers with a thorough understanding of compliance and onboarding requirements ensuring that teams execute this process correctly from the outset. This role is pivotal in enhancing efficiency and maintaining high standards of compliance across the organization.

Manage the supplier engagement process from receipt of request form all the way through to the completion of the suppliers task including but not limited to:

  • Employability checks: Supply employability checks escalating to HR teams should any of the criteria for freelance engagements not be met and maintain compliant employability records to facilitate the Supplier Engagement Process.

  • Create purchase orders: Verify available budget assigning to prescribed approvers and pushing to ensure that all Purchase Orders are in-place ahead of job starts.

  • Create supplier contracts ensuring deliverables and terms are clearly outlined with valid completion dates that are in-line with project plans.

  • Establish supplier access: Set up suppliers and freelancers with access to required business systems extending and adjusting dates in-line with any delays.

  • System troubleshooting: Work with suppliers and freelancers to resolve any issues related to system access and ensure they are competent in using the required systems.

  • Support hiring managers from request through to successful access to business systems ensuring a smooth onboarding process.

  • Record Keeping: Maintain accurate and up-to-date records of all supplier engagements and related documentation.

  • Process Improvement: Collaborate with the Workflow and Process team to identify areas for improvement and implement streamlined processes.

  • Training and Development: Conduct training sessions for Hiring Managers to ensure they understand compliance and onboarding requirements.

  • Ad hoc support: On request at the direction of Senior Project Coordinator and Project Coordinators pick up on-demand support tasks.

Experience Skills & Qualifications:

Essential:

  • Organizational Skills: Strong ability to manage multiple tasks and prioritize effectively.

  • Attention to Detail: High level of accuracy in managing records and documentation.

  • Problem-Solving: Proficiency in troubleshooting and resolving issues related to system access and supplier engagement.

  • Budget management: Familiarity with financial systems and experience working with large complex budgets

  • Data Management: Expertise in maintaining accurate records and utilising reporting tools for analysis and monitoring.

Desirable:

  • Industry Knowledge: Familiarity with the publishing industry including key processes and best practices.

  • Technical Proficiency: Competence with digital tools and systems related to supplier management and onboarding.

  • Compliance Knowledge: Understanding of employability checks and compliance requirements for supplier engagements.
