For Linklaters Office in Warsaw we are currently recruiting for the Events Coordinator role.
Work arrangements:
Hybrid model work: 2 days per week from the office located next to Rondo ONZ
Contract: 16-month employment contract (maternity cover)
Working hours: 9:00 to 17:15 with flexibility around the hours if needed (events related)
Business travel: Occasional business travel may be required.
Purpose:
Your role will be to assist in the planning and execution of events that align with firm strategy as well as marketing priorities. You will work closely with Events Team Lead and regional marketing teams to deliver a range of events.
Your key responsibilities:
- Support the planning and execution of high impact events and ensure that all logistical arrangements are in place for events.
- Support events advisors and regional marketing teams with preparing event proposals budget management and handling enquiries.
- Coordination of logistical elements such as events catering transportation shipping registration accommodation printing signage audio/visual setup invoice processing etc.
- Coordination of event-related client communication including creating and sending invitations event microsites registration and follow up communication.
- Handling hospitality enquiries and making bookings as required and according to firm policy ensuring adequate approvals are in place.
- Own and manage events as required and ensure they are planned and executed in accordance with firm-wide policies and branding guidelines.
- Support the running of events by providing virtual or in-person support (overseas travel may be required).
- Follow guidance to prepare reports regarding client attendance registration numbers key marketing measures and any necessary feedback to propose new ideas to improve event planning and delivery.
- Ensure that central systems and databases are kept up to date with upcoming events.
Apply if you have:
- 2 years of proven experience in coordinating and managing events in a corporate or professional services environment.
- Fluent English (min. C1 level).
- Familiarity with event registration systems and event management technologies (Salesforce or equivalent).
- Demonstrated ability to handle all aspects of event logistics from supplier management and venue selection to day-of execution.
- Experience in budget management and cost negotiation for events.
- Strong track record of successful collaboration with various stakeholders to design and execute events aligned with strategic objectives.
- Experience tracking and analysing event metrics to measure success and identify areas for improvement.
- Knowledge of industry trends and best practices in corporate event management.
- Strong attention to detail with excellent organizational and multitasking abilities.
- An active role in preparing and sending event-related communications to attendees (for example invitations and followup messages).Effective communication skills with ability to interact professionally with clients and senior stakeholders.
- Experience with virtual and hybrid event formats is beneficial.
