Completion of Grade twelve (12) including business subjects related to word and information processing or completion of an appropriate certificate program from an approved business school/college supplemented by training in computer applications
Minimum of two (2) years of diversified word and information processing experience including experience with reception customer service creating/receiving purchase orders in Ariba processing invoices and minute taking
Must achieve a 45 WPM typing speed
Assets:
Experience with ETDS TOPS PeopleSoft POSSE SDMS and Remedy
Skills required for success:
Intermediate to advanced level proficiency with Google Workspace (Docs Sheets Forms Calendar Meet etc.)
Prior experience using DocuSign and Ariba
Ability to maintain confidentiality and handle sensitive information with discretion
Problem-solving and decision-making skills
Excellent verbal and written communication skills including strong comprehension of the English language
Exceptional time management and organization skills with the ability to adapt to changing priorities and meet deadlines in a fast-paced environment
Ability to work independently and as part of a team
Strong interpersonal skills including the ability to effectively and tactfully communicate and develop relationships with various internal and external stakeholders and partners

Conditions of Employment:
Hire is dependent on a Criminal Records Check (CRC) security clearance that is satisfactory to the City of Edmonton and is a requirement of this position there may be a cost associated with this requirement

Work Environment:
Note: Given the operational requirements of this role this position does not qualify for a hybrid work arrangement. Employees are required to be present on site during their scheduled work time.
Work hours for this role are 8 AM until 4:30 PM Monday through Friday
These roles are located in large transit garages; a fair amount of walking is required daily
The role located in Ferrier Garage requires the use of stairs; there is no elevator available
The weekly hours of work for this position are currently under review and may change at a future time. Any changes will be made in accordance with the City of Edmonton/Civic Service Union 52 collective agreement and the incumbent will be notified in advance

What will you do
Serve as the receptionist for the Kathleen Andrews Transit Garage or the Ferrier Transit Garage responding to inquiries directing visitors and processing mail and couriers
Provide administrative support to the management team including processing documents managing calendars and coordinating travel
Deliver exceptional customer service by assisting with a range of requests such as processing invoices coordinating repairs and managing stationery orders
Offer general support to operators including processing ID card requests managing locker assignments and distributing corporate gifts
Maintain accurate records and files ensuring compliance with the City of Edmontons retention policies
Prepare and distribute minutes for various meetings including Joint Health and Safety Transit Delivery Supervisor and Bus Operations Clerk meetings
Troubleshoot minor technical issues with office equipment and arrange for repairs as needed
Support the processing of human resources documents including pre-filling counselling forms and maintaining a tracking sheet of assignments
Assist with the coordination of special events and staff appreciation activities
Perform other related duties as assigned
