Job Summary

JOB SUMMARY:
The Bronx District Attorneys Officeseeksa highly organized and detail-oriented LegalRecruitment and Retention Coordinator/Administrative Assistantto support the Legal Recruitment and Retention Bureau. Theideal candidate for this positionwill provide administrative and operational support to ensure the smooth execution of recruitment onboarding and retention initiatives for Assistant District Attorneys (ADAs) and interns. This role requires discretion efficiencyprojectmanagementskills and the ability to manage multiple priorities in a fast-paced environment.

JOB RESPONSIBILITIES:

  • Provide direct support to the Chief of Legal RecruitmentandRetention.
  • Answer Legal Recruitments main phone line promptly and courteouslyidentifythe callers needs and redirect them to theappropriate partyor department for resolution.
  • Manageand organizethe centrallegalrecruitment inbox
  • Provide day-to-day administrative support to the Legal Recruitment Bureau including scheduling filing and handling correspondence and perform clerical duties.
  • Assistwith scheduling and coordinating recruitment events including law school visits career fairs panel interviews and informational sessions.
  • Maintainapplicant tracking systems and recruitment databases; generate reports on applicant flow hiring progress and retention metrics.
  • Coordinate thelogisticsof candidate interviews including scheduling panel coordination and candidate communication.
  • Support onboarding processes by preparing offer letters managing pre-employment documentation and ensuringcompletionand complianceof required onboarding forms.
  • Prepare and proofread documents memos reports and presentations.
  • Prepares materials and agendas for meetings takes and distributes meeting minutes and follows up on action items.
  • Serve as a point of contact for candidates law schools and internal staffregardingrecruitment matters.
  • Help manage recruitment communications including newsletters social media postings and outreach to law schools and professional associations.
  • Coordinates hiring meeting materials andassistswith follow-up efforts.
  • Track attorneydata including but not limited to barpassage andcourt admissions.
  • Provide backup supportforRecruitmentTeam membersand to special projects as assigned.
  • Work collaboratively and across the team and other departments of the firm.
  • Aid theChief in project management including but not limited tomaintainingspreadsheets coordinating tasks related to internshipshiring and onboarding.
  • Coordinate meetings and conference calls.
  • Draft communications to all levels of staff and outside stakeholders.
  • Organize andmaintaintrackingonlinesystems.
  • Maintains professional standards in all interactions exercising sound judgment and discretion with confidential information.
  • All other duties as assigned.

QUALIFICATIONS:

  • Bachelors degree preferred; relevant administrative experience may be considered instead of a degree.
  • Minimum of 12 years of administrative HR or recruitment experience preferably in a legal or government setting.
  • Possesses superior organizational and time-management skills including the ability to prioritize projects and meet deadlines.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple tasks meet deadlines and work independently in a fast-paced environment.
  • Maintain the highest discretion and confidentiality.
  • Able to work harmoniously and effectively with others.
  • Able to work effectively and diligently under pressure.
  • Ability to build rapport with attorneys and professional staff
  • Abilityto work at a computer screen for a sustained amount of time
  • Ability to work independently and as part of a team including being proactive and lead on projects to provide high-quality results.
  • Proficiencyin Microsoft Office Suite (Word Excel PowerPoint Outlook); familiarity with applicant tracking systems is a plus.
  • Researchproficiencya plus.
  • Professional demeanor and sound judgment.
