DescriptionIn accordance with the Vision Purpose and Values and strategic direction of the Vancouver Island Health Authority (Island Health) patient and staff safety is a priority and a responsibility shared by everyone; as such the requirement to continuously improve quality and safety is inherent in all aspects of this position.
Reporting to the Manager or designate the Program Assistant provides administrative and clerical support to multiple managers by screening and prioritizing incoming correspondence and materials; monitoring and processing expenditures; drafting and typing a variety of documents and correspondence; maintaining electronic calendars; arranging and scheduling internal and external meetings; creating agendas/minutes of meetings; updating and maintaining the website; assisting the development and maintenance of SharePoint and databases; inputting confidential health information; and compiling statistical data. Works independently and communicates with internal and external stakeholders in a manner that promotes positive and respectful relationships.
Travel may be a requirement of this position. If applicable transportation arrangements must meet the operational requirements of the Vancouver Island Health Authority in accordance with the service assignment and the incumbent must be able to operate a motor vehicle.
QUALIFICATIONS:
Education Training And Experience
- Grade 12; and
- Office Administration Certificate; and
- Three (3) years recent related experience or equivalent combination of education training and experience.
Skills And Abilities
- Ability to communicate effectively both verbally and in writing.
- Ability to work independently and in cooperation with others.
- Knowledge of general office practices and procedures.
- Ability to plan organize and prioritize.
- Ability to type at 60 wpm.
- Knowledge of medical terminology.
- Business writing skills.
- Ability to operate related equipment.
- Ability to analyze and resolve problems.
