Job Summary

The Office Support Coordinator provides a positive first impression of the company answering calls and greeting guests in a professional courteous and timely manner directing each to the appropriate staff members. This position provides general office support with a variety of clerical activities and related tasks.

Primary Responsibilities:

  • Answer all incoming phone calls within 3 rings and route calls to appropriate staff members being courteous and friendly. Understand the business cycle and staff needs in relationship to routing calls Teams messaging and voicemail when appropriate.

  • Greet all incoming guests creating a lasting impression on everyone you encounter.

  • Maintain the PIPAC Office Calendar and being mindful of events and appointments that affect the availability of staff members.

  • Process daily outgoing mail and agent supply orders.

  • Maintain office/kitchen supplies and order as needed.

  • Perform administrative agent relations tasks including but not limited to: processing co-op submissions agent award reporting agency card correspondence CE materials preparation and data entry for various departments.

  • Maintain neat and organized office space including the front desk mail room conference room and GAP office.

  • Must be capable of regular and predictable attendance to perform job tasks.

  • Other clerical projects and duties assigned.

Primary Skills & Requirements:

  • High school diploma and 1 year of customer service or receptionist related experience. Additional certifications in office administration or related fields are a plus.

  • Excellent verbal and written communication skills.

  • Professional and friendly demeanor with strong customer service skills.

  • Ability to operate telephone systems office equipment and handle basic troubleshooting.

  • Proficient in using computer systems and office software (MS Office Outlook Teams and calendar features).

  • Ability to work independently and flexibility to adapt to varying levels of incoming phone traffic based on business cycle.
