Job Summary

General Statement of Job

The Alumni & Donor Relations Assistant is a part-time position reporting to the Director of Alumni & Donor Relations. The Assistant supports alumni engagement donor stewardship and recognition efforts while providing administrative and event support that advances the mission of Missouri Southern State University.

Specific Duties and Responsibilities

Essential Duties:

  • Assist the Director in implementing alumni engagement strategies including regular communications and targeted outreach.
  • Greet and assist guests entering the Mansion.
  • Maintain a positive professional attitude and promote the Universitys mission.
  • Manage calendars and prepare materials for meetings and events.
  • Manage alumni RSVPs and voicemail.
  • Support alumni involvement initiatives.
  • Prepare materials for Alumni Association Board meetings.
  • Support donor stewardship activities including acknowledgements and recognition.
  • Assist with event planning dcor signage staffing and coordination.
  • Support Lantern Society recognition activities.
  • Assist with Golden Lion Scholarship recognition and annual dinner.
  • Prepare Green and Gold Tour materials.
  • Manage memorial and tribute gift notifications.
  • Maintain event linens and inventory.
  • Organize storage and basement areas.
  • Purchase and transport event supplies.
  • Assist with Mansion upkeep and event setup.
  • Coordinate catering IT alcohol and URM requests.
  • Attend evening and weekend events as required.
  • Perform other duties as assigned.

Education Experience and Licenses

High school diploma or equivalent required. Associate or bachelors degree preferred. Prior experience in event planning or customer service required.

Knowledge Skills and Abilities

Strong organizational interpersonal verbal and written communication skills; ability to maintain confidentiality; proficiency with Microsoft Office and general computer applications.
