The Event Operations Assistant is responsible for equipment setup and tear down for external and internal events supporting the Event Operations Supervisor Event Coordinator and the Director as required. Their focus is to consistently deliver correct and efficient setup and tear down of event resources high quality customer service and to support the department in achieving its goals for effective and efficient operations. Position location is full-time in-person on all campuses (includes Trinity and Law School)
PRIMARY ROLES AND RESPONSIBILITIES:
- Places tables and chairs in designated locations.
- Lays out linen or disposable coverings as needed.
- Inspects and maintains rooms before and after events for cleanliness and accurate setup.
- Set up audio visual needs: projectors screens sound connection and more.
- Set up and tear down signs to include A-Frames yard signs and indoor signs.
- Installs staging including risers and backdrops such as pipe and drape.
- Tears down and stores equipment after an event.
- Projects supply needs.
- Provides light sweeping/trash removal.
- Works closely and professionally with others to include housekeeping services.
- Attends weekly/bi-weekly and/or monthly meetings to review logistical needs for all events.
- Enforces consistent standards for meeting room sets.
- Sets up decorative elements like banners balloons and lighting fixtures.
- Reads and understands room diagrams and event resumes to set event spaces accordingly.
- Oversees delivery and set up/tear down of rentals.
- Accurately assesses and responds quickly to customer needs.
- Clearly communicates questions needs and requests to Event Coordinator(s) and Director.
- Addresses issues or changes that may arise during setup.
- Maintenance and repair of any equipment with Directors approval.
- Maintain a neat clean and organized workspace and storage spaces including hallways and common areas.
- Adheres to the human resource policies and procedures of the facility.
- During the summer assists with summer camp and conferences with event needs.
Administrative duties:
- Tracks and implements resource changes on a daily basis.
- Accessing 25live for reports and location references.
- Create work orders through the SchoolDude website for any necessary work needed in locations or on equipment.
QUALIFICATIONS:
- High school diploma or equivalent is required. At least one year of related experience and/or training; or equivalent combination of education and experience.
- Valid drivers license required.
- At least one year of related experience and/or training in special events in a professional setting.
- Works well others from diverse backgrounds.
- Great attention to detail.
- Available to work evenings weekends and some holidays
- Manage multiple priorities under tight deadlines.
- To perform this job successfully an individual should have competent skills in Microsoft Word Excel and Outlook.
- Ability to read analyze and interpret general special event setup and tear down directions and details.
- Ability to effectively present information and respond to questions from groups of managers clients customers and the general public.
- Ability to calculate figures and amounts in regards to inventory upkeep.
- Ability to solve practical problems and deal with a variety of client needs.
- Ability to interpret a variety of instructions furnished in written oral diagram or schedule form.
