Position Summary:
The Clinic Coordinator plays a dual role supporting both the operational efficiency of Student Health Services and the holistic well-being of students. This position coordinates daily clinic operations while also providing non-clinical student support services including care coordination resource navigation and short-term solution-focused interventions for students navigating health academic or personal challenges. The role serves as a key point of connection between students healthcare providers and campus and community resources.

The ideal candidate embodies a professional compassionate and team-oriented approach to clinic and operational coordination for Student Health Services. They will be primarily responsible for coordinating the clinic as well as acting as a dedicated advocate for students skillfully collaborating with campus partners to facilitate care while maintaining appropriate confidentiality. Furthermore this individual will serve as a trusted connector proactively maintaining up-to-date knowledge of community resources to ensure students have access to the support they need.
Workplace Requirements:
This position is exclusively on-site and full-time necessitating all duties to be performed in person at Rice University.Per Rice policy 440 work arrangements may be subject to change.
Hiring Range: $57000$60000 annually contingent upon qualifications and experience.
*Exempt (salaried) positions underFLSA are not eligible for overtime.
Minimum Requirements:
Bachelors degree in social work public health psychology health services human services or a related field
2 years of experience in healthcare coordination student services case management or social services
Skills:
Strong understanding of student development and challenges faced by college-aged populations
Ability to establish and manage priorities and handle numerous time-sensitive projects with conflicting and varied deadlines in a fast-paced clinical environment
Ability to accomplish goals through formal and informal channels with diplomacy and tact
Demonstrated creativity problem-solving critical analysis initiative judgment and decision-making skills
Demonstrated ability to develop and meet budget goals
Excellent planning and organizational skills
Excellent interpersonal verbal and written communication skills
Preferences:
Masters degree in social work (MSW) counseling public health or nursing
Experience in a college or university health or student support setting
Knowledge of trauma-informed culturally responsive and equity-centered practices
Ability to work independently and as part of a team to meet expected deadlines and schedules
Ability to screen for interpersonal violence
Experience in an outpatient or primary care setting
Experience working with adolescents or college-aged populations
Familiarity with electronic health records
Strong customer service skills
Essential Functions:
Leads the planning and daily clinic operations for Student Health Services ensuring efficient patient flow and high-quality service delivery
Manages under the oversight of the Medical Director the clinics budgets human resources (onboarding and coordination of clinic staff trainees or student workers) and facilities functions
Responsible for managing patient billing processing student reimbursements and maintaining detailed tracking of gift funds and expenditures
Assists students with care coordination including referrals to campus and community resources (e.g. counseling disability services housing food insecurity insurance assistance) and understanding medical recommendations and follow-up care plans
Manages appointment scheduling referrals and follow-up processes for patients (undergraduate and graduate students)
Serves as a primary point of contact for students seeking health services or information on health topics including emergencies and student walk-ins
Supports students experiencing complex or high-need situations in coordination with appropriate campus or external resources and professionals
Assists students in accessing healthcare coverage financial assistance or social services when applicable including tracking referrals and outcomes to ensure continuity of care
Organizes and manages clinic marketing
Identifies issues and develops alternative solutions which may include changes to programs policies and procedures related to clinic operations
Contributes to health promotion and outreach strategies that may include relationship development communications and compliance
Supports clinic documentation data tracking and reporting as needed including processing health data forms managing documentation and placing or removing holds on student accounts
Maintains confidentiality and adheres to HIPAA FERPA clinic and university policies when documenting student interactions and care coordination activities
Assesses and participates in training supervision and quality improvement activities
Handles all incoming and outgoing correspondence (fax/email) and oversees supply management
Performs all other duties as assigned
Additional Functions:
Serves as the point of contact for clinic equipment repairs and needs
Contributes to health promotion outreach and education initiatives
Supports compliance with university policies and healthcare regulations
Supports campus-wide wellness retention and student success efforts
Participates in interdisciplinary meetings related to student care and wellness
Assists with event development and planning including training and engagement
Assists with preparing for large capital improvement projects
Provides feedback for policies regarding the management of general operations
