Job Description

Key Responsibilities:

  • Coordinate endtoend logistics for iMEX touchpoints and workshops including scheduling room bookings hybrid setup and onsite readiness (AV checks seating layouts equipment).
  • Set up and manage hybrid collaboration tools (Miro/Mural/Teams whiteboards) ensuring a seamless digitalinperson experience and troubleshooting basic tech issues during sessions.
  • Prepare and organize meeting materials by compiling prereads agendas and briefing documents maintaining structured folders in SharePoint/Teams and tracking followups and action items.
  • Provide operational support by maintaining calendars trackers and documentation (playbooks templates SOPs) and conducting small research or benchmarking activities.
  • Collaborate with Medical Excellence Medical Science Managers and crossfunctional partners to support governance meetings prepare materials and ensure alignment and consistency across markets.
  • AI capability mapping & enablement: Inventory and continuously update the organizations internal AI tools and platforms; assess use cases adoption; and translate capabilities into practical workflows for teams.
  • Inventory and map the data sources available for HCP discovery and engagement (e.g. CRM interactions congress rosters/abstracts publications advisory boards digital footprints).
  • AI strategy & solution scouting: Identify evaluate and pilot AI solutions (internal and external) that advance our strategies to shape healthcare ensuring clear alignment with company priorities compliance governance and measurable business impact.
  • Cross-functional alignment: Partner with business medical data/IT legal and compliance stakeholders to prioritize AI initiatives define requirements and drive implementation and change management.

Essential Requirements:

  • Currently enrolled in a Bachelors (Life Sciences Business Communications or related fields).
  • Strong organizational skills and attention to detail.
  • Comfortable working with digital collaboration tools (Teams online whiteboards SharePoint Outlook).
  • Excellent communication skills (written and verbal).
  • Ability to manage multiple deadlines and work in a dynamic environment.
  • Proactive resourceful and comfortable working with ambiguity.
  • Language & Level: French basic English advanced.
