Summary of Position:
The Office Coordinator is responsible for keeping Copaken Brooks downtown headquarters office running smoothly on a daily basis. This role oversees front desk operations office facilities supplies and amenities and serves as a primary point of contact for employees visitors tenants and vendors. As a highly visible position the Office Coordinator helps set the tone for the office by creating a professional organized and welcoming environment and by exercising discretion and professionalism in all interactions.
The Office Coordinator supports day-to-day office needs assists with onboarding logistics for new employees manages parking and building access and coordinates vendors and services as addition to office operations this role leads internal event planning and manages the Internal Events Committee budget supporting company culture and employee engagement throughout the year.
Key Responsibilities & Duties
- Reception: greet visitors couriers and vendors; validate visitor parking; receive and route shipments
- Phone Coverage: answer and route incoming front desk calls from the automated phone system; coordinate callers including tenants leasing prospects vendors and guests to the appropriate department or contact
- Small Parcel and Mail: pick up and distribute inbound mail and small parcels; drop off outbound mail and small parcels; maintain mail and parcel supplies; maintain company associate mail bins
- Conference Rooms: maintain cleanliness and organization; restock water and supplies; assist with conference room calendar management
- Kitchen: prepare and clean coffee makers; restock refrigerator beverages; restock cups utensils and paper products; load run and unload dishwasher; maintain and restock snack station
- Supplies: manage and reorder office supplies kitchen supplies beverages and copier toner cartridges
- Vendor Management: coordinate with Coca Cola Aramark Amazon Staples parking providers and postage services
- Parking and Badge Management: coordinate employee parking assignments manage access badges and support onboarding and offboarding processes
- New Employee Office Set Ups: prepare workstations for new hires including furniture coordination office supplies and general readiness prior to starting date
- Internal Events and Culture: lead and manage the budget for the Internal Events Committee; plan and execute monthly internal events and several companywide events throughout the year; support initiatives that strengthen company culture and employee engagement
- Administration: maintain company phone directory employee seating plans and property management overview information
Work Environment
This role works in a fast paced professional office environment and requires regular interaction with employees tenants visitors and vendors.
QualificationsExperience & Education
- 5 years of successful experience as similar role
- Experience in a professional services or corporate office environment preferred
- Bachelors degree preferred
