DescriptionSummary:The Administrative Manager is a key onsite leader responsible for supporting both the operational and human resources needs of the manufacturing facility. On the operations side this role ensures accurate production reporting inventory and BOM data management raw material receiving records and customer order and shipment documentation. The manager coordinates closely with corporate accounting on AP/AR activities and maintains the administrative processes that support efficient daily manufacturing performance.
Equally the role serves as the primary HR resource for the facilityguiding managers and employees on HR policies leading hiring and onboarding activities supporting employee relations and assisting with performance and disciplinary processes. The Administrative Manager also plays a core role in maintaining a safe work environment by supporting plant safety programs and related documentation.
Overall this position acts as the central connector between operations HR and corporate teams to ensure the facility runs smoothly safely and in compliance with company standards.
Responsibilities:
- Ensures accurate processing of customer orders.
- Maintains accurate receiving records for raw materials and supplies including incoming material sample retains and files.
- Reviews incoming raw material paperwork verifying accuracy and compliance with incoming quality requirements.
- Manages accurate recordkeeping for outbound shipments and ensures proper execution of customerrequired documentation.
- Interfaces with the accounting team to facilitate financial documents required for customer and vendor interactions.
- Provides local support for AP and AR activities in partnership with the corporate accounting team.
- Responsible for accurate data management for BOMs and item numbers.
- Ensures accurate daily production entries for all assemblies.
- Executes monthly inventory adjustments and records intercompany component transactions.
- Provides backup support to other team members as needed.
- Provides coaching leadership and support to managers and employees regarding HR policies procedures programs and employee concerns.
- Leads and manages employment practices including recruiting orientation employee development promotions transfers terminations and temp agency utilization.
- Administers HR policies at the site including attendance and disciplinary processes ensuring consistency.
- Acts as an employee advocate and mediator for employee relations concerns handling HRrelated legal issues as needed.
- Actively participates in the plant safety program.
- Manages all safetyrelated documentation including accident reporting and OSHA recordkeeping.
- Other duties as assigned.
Requirements:
- Minimum of 5 years of experience in a manufacturing environment
- Bilingual English/Spanish required
- Demonstrated leadership abilities in partnering with business leaders in a fast-paced changing operations environment.
- Knowledge of HR labor and employment law and the ability to interpret apply and articulate this knowledge in support of business initiatives
- Knowledge of QuickBooks and SAP financial systems preferred
- Strong oral written and presentation communication skills with all levels of the organization.
- Proficient in Microsoft applications.
- Good organizational planning and follow-up skills.
