The Clerk of the Circuit Court & Comptrollers office is seeking a well-organized detail-oriented professional who likes the challenge of variety and possesses excellent time management skills to join the Recording department as a Supervisor. As the County Recorder our office records instruments presented for recording upon payment of the service charges as prescribed by law. Most instruments recorded in the Official Records are open to the public under the supervision of the Clerk for the purpose of inspection and copying.
This position is responsible for the overall coordination productivity accuracy and continuous improvement of the Recording/Record Services addition this position is also responsible for providing training direction and guidance in practical processes and procedures of the work under direction of the Manager. Work involves displaying initiative good judgment professionalism follow-through the ability to multi-task and ability to readily adapt to fast-changing priorities and a strong work ethic.

Examples of Essential Functions
- Prepares and/or updates processes and procedures for departmental tasks as well as various general operating procedures records files lists and other documentation.
- Prioritizes coordinates assigns and monitors staff and clerical support duties; provides formal and practical training and guidance to staff in departmental processes and procedures.
- Under the guidance of the Manager assists with personnel management functions i.e. performance evaluations employee development and recommendations for hire/transfer/promotion/coaching/discipline.
- Performs initial review of workflow and productivity of staff under charge; provides reports regarding adherence to established goals and objectives; provides recommendations concerning new or enhanced procedures as appropriate.
- Oversees maintenance of an effective and efficient recordkeeping and file maintenance system; provides reports regarding adherence to established electronic and/or hard copy file maintenance methods and standards.
- Participates in all aspects of work under charge to support and ensure effective and efficient production of the department.
- Monitors cash handling within the department; performs initial balancing of staffs cash drawers; provides verification of departmental deposit and/or prepares departmental deposit following organizations cash handling procedures.
- Under direction performs complex and/specialized functions; responds to difficult or unusual circumstances requiring specialized attention or supervisory intervention.
- Prepares agendas for conducting staff meetings; assists in distributing administrative orders memoranda amendments and policy and procedural updates accordingly.
- Prepares and processes various weekly monthly and annual reports applicable to departmental operations.
- Conducts initial tracking of time and attendance tardiness paid time off and leaves of absence; monitors such for scheduling and evaluation purposes.
- Reviews records reports logs forms statistics invoices and other work processed to ensure accuracy completeness and compliance with applicable regulatory standards.
- Adheres to systems of audit controls and systems for reviewing tasks procedures efficiency and effectiveness and staff training and development.
- Develops implements and facilitates effective cross-training mechanisms as applicable to the needs of the department; assists with training and/or cross-training.
- Processes various invoices payments and refund requests as applicable to assigned department.
- Performs special research or projects as directed by management.
- Complies with all personnel policies and procedures.
Typical Qualifications
Bachelors degree in Business Administration Public Administration Management or related field supplemented by four (4) years of recent and relevant direct work experience required as outlined below.
Additional experience is accepted as a minimum requirement in lieu of a post-secondary degree on the following basis: additional four (4) years in lieu of a bachelors degree and additional two (2) years in lieu of an associate degree.
Direct work experience with demonstrated knowledge of effective leadership and supervisory principles and practices as well as performing personnel management duties (i.e. supervising training hiring disciplinary action counseling performance evaluations recommending transfer promotion separation) are required.
